New Functionality

The ability to share a custom view has been added. There are two ways to share a view:


At the Local Agency


A user in a local agency may share a custom view with all users in that agency only. A custom view is a view created by the user.

  1. Sign into LACES and go to the area where you wish to share a view.

  2. Go to the View Manager.

  3. Select the custom view you wish to share.

  4. Click the Share button.

  5. A message will display alerting you that the view will be shared with all users in your agency.

  6. Click Yes.

  7. You will then see the button switch to Unshare.

  8. Click the SAVE button.

  9. The shared view will now display on the View list at the Shared Views category.

  10. All users in the local agency will see the view on their View list at the Shared Views category.

  11. A shared view may be set as the default, added to Favorites, or copied to create a new view.

At the SEA

  • An SEA user may share a custom view with all agencies in the client that are part of the SEA agency tree.

  1. Sign into the LACES SEA and go to the area where you wish to share a view. (ONLY state users have access to the SEA.)

  2. Go to the View Manager.

  3. Select the custom view you wish to share.

  4. Click the Share button.

  5. A message will display alerting you that the view will be shared with all agencies and users in your state database.

  6. Click Yes.

  7. You will then see the button switch to Unshare.

  8. Click the SAVE button.

  9. The shared view will now display on the View list at the Shared Views category.

  10. All users in the state LACES database will see the view on their View list at the Shared Views category.

  11. A shared view may be set as the default, added to Favorites, or copied to create a new view.

  12. There is no need for a view shared at the SEA to be shared again in an individual agency. A message will display at the top of the view manager alerting the state user that they have already shared the view.


At both the local and SEA, a view may be Unshared at the View Manager. Simply select the view and click the Unshare button.

A shared view set as the default, or added to Favorites by a local user will be removed if the originator of the shared view unshares it. The view will revert to the default view at that area.

Remember that a local user cannot remove a shared view, so only share views that are useful to other users.


Fixes/Updates

NRS Tables

  1. The numbers on the Family Lit Follow-up section of Table 8 were inadvertently shifted down one row. This has been corrected.


Statewide and Local Performance Report

  1. The Measurable Skill Gains search has been updated with a new version that includes rows for IET and Workplace MSGs. This version is for 2020/2021 reporting and reporting years going forward.


Students

  1. Carnegie students whose gain was based solely on a pre and posttest were incorrectly counting on Table 4A in column G as making a gain by Carnegie credits. This has been corrected. This fix is only applicable to agencies who accept Carnegie credits.

  2. The NEDP process has been updated. This is only applicable to states who offer NEDP. Please check your LACES user news page at the link to your state's customizations.

  3. The field "Hours Earned" has been added to the student Enrollments tab grid.

  4. The "Expected Award Date" field has been removed from the Non-Reportable Credentials record, and the fields "Non-Reportable Credential Type" and "Date Earned" have been made required. The choice list for the "Non-Reportable Credential Type" field may be updated by going to Agency Settings/Choice Lists and selecting ""NonReportableCredentialType."


Views

  1. "Intake Date" has been added to the view manager list of fields at the All Assessments and All Hours areas.

  2. "Age" has been added to the view manager list of fields in the Staff area.


Imports

  1. lmports were not handling special characters correctly in names, such as Jóse and Péna. This has been fixed so the special characters will import correctly.


Exports

  1. Exporting from an import task record at the All System Tasks area resulted in additional characters in the export file column headings. This has been corrected.


Reports

  1. The "Tutor Hours by Type" report was reporting hours earned or provided by a tutor in another role. For example, a person may be a tutor, but also be entered in LACES as a volunteer, student, staff, contact, or donor. The report has been corrected to only report hours earned or provided by a person's Tutor role only.


Searches

  1. The "Workshops" category has been added to the Student, Staff, Contact, Donor, and Volunteer search criteria builder. This allows the user to search Workshop enrollments at each person area.


Documents

  1. The size limit for uploaded documents has been increased from 4MB to 80MB. This eliminates the need for users to divide large files into smaller ones in order to upload to LACES. This is only applicable to those agencies who have the Documents panels at the Student, Staff, and Tutor areas.
