Fixes/Updates

Search

1. 'Family' has been added to the student search criteria builder.

Assessments

1. The TASC total score range has been changed to 300 - 4000 to allow the TASC assessment to be saved if only one subtest was entered.

2. The number of Instr Hrs Between Assessments in Subj Area on the student assessment grid was not being removed if an assessment was edited and the scaled score changed to 0.  This has been corrected.

3. The TABE Online Locator assessment was incorrectly set for a scaled score of 0-100.  This has been updated to 0-999.

Enrollment

1. A rule has been added that prevents a student from being enrolled in a class, group, or workshop, matched in a pair, or being re-enrolled in a class if a Report Exclusion Reason has been added in the  student record.

Student Reports

1. The 'Hours Between Assessments' report has been updated to match the assessment grid 'Instr Hrs Between Assessments in Subj Area' calculation.

2. The 'Student File Update' report was not opening.  This issue has been corrected.

FY Summary Update for Table 5a and Table 11

Issues were recently discovered with the reporting of students on Tables 5a and 11.

The solution was to add additional rows on the FY summary to indicate Distance Learner and IETP in the previous two FYs.  These additional rows will allow  Distance Learners and IETP students to count correctly for 4th quarter follow up.

For example, you may now see one of these new rows in the FY summary:

Pop1LeftInEmploymentOutcomeAsDistanceLearner_FY-2_Q3_to_FY-1_Q2

Pop1LeftInEmploymentOutcomeWithIetpEnrollment_FY-2_Q3_to_FY-1_Q2

Students affected by this change must have an updated 19/20 FY summary to report on the 19/20 NRS Tables 5a and 11.

Since the NRS outcome tables depend on the FY summary from the previous reporting year, the 18/19 FY summaries had to be patched for this update. The patch did NOT change the numbers reported by the state last October for Tables 5a and 11, but because of the issues, the numbers may not have been completely accurate.  If you would like for LPS to update the numbers for 18/19, please notify tech support.  However, this means that the updated numbers may not match the numbers that were reported.

Going forward, Distance Learners and IETP students will count accurately on the 19/20 reports.

Educational Levels without an NRS approved assessment

Due to the impact of COVID-19, OCTAE is allowing states to revise their assessment policy to allow a student to get an entry level without being assessed with an NRS approved assessment.

To accommodate this allowance, two provisional assessments are now available:

These assessments will be applied to LACES for state clients with revised assessment policies.  A request must be made in writing to LPS tech support for these assessments to added.  It is important to understand that there are no additional assessment rules coded with these assessments, so it is up to each user to enter the assessments appropriately and only when necessary.

Please note the following:

You can read more about the guidance at the following link: https://www2.ed.gov/about/offices/list/ovae/pi/AdultEd/octae-pm-20-5-covid-faqs-final.pdf

A score corresponding to the level may be entered in the Scaled Score field on the assessment card to populate the following ENTRY levels:
