Procedure - Missed Punches on Time Sheet

To: Hourly Paid Employees, Administrators, & Supervisors:

The number of employees who are missing punch ins or outs on their time sheets appears to be a growing problem.

Our concern is two fold. First, we have employees contacting our office to have corrections made on their time

sheets, and it appears the supervisor is not in the loop. Second, we do have a few who this is a continuous problem

with. Policy requires employees to ensure their time sheets are accurate for appropriate payroll and accounting purposes.

The following steps should be adhered to for employees who miss a punch (in or out) on their time sheet:

1. The employee should send their supervisor an e-mail explaining the situation.

2. If the supervisor feels the missed punch is valid and not a major issue, the supervisor should forward the time

sheet correction request to Becky P. or Bonnie and they'll make the change in the system.

3. Becky P. and Bonnie will be keeping a file/record of each missed punch request. If the same individual has more

than 3 missed punches in a year, we'll be asking the supervisor to follow up and take corrective action.

Some districts have a very strict no tolerance policy with this; in other words, they move towards employment

termination. We prefer not to have such a strict policy as done in other districts. However, when trends and patterns develop with the same individual there is usually a problem with the accuracy of the time they are reporting to be paid. Anything you can do to help prevent missed punches from occurring will save everyone time and heartache.

This procedure goes into effect right away, starting today; and we appreciate any suggestions and help in

implementing these procedures.
