III What To Do When A Crisis Occurs
1. Any individual(s) witnessing or having information regarding a crisis shall immediately notify the Crisis Team Chair.
2. The Crisis Team Chair’s first responsibility is to ensure the safety of the students, and faculty / staff and will:
make sure medical, fire, or police personnel have been notified, and activate Crisis Team members
get an accurate report from crisis site
commence Crisis Team meeting and decide action plan
3. The Chair, in consultation with the Crisis Team will:
notify the receptionist of the crisis and instruct him/her on where to direct related calls and what to say
obtain and review information from all involved parties with the crisis team:
a) gather known facts
b) who was involved or present?
c) what happened?
d) when, where, and how did the incident occur?
e) any injuries or fatalities?
f) physical plant damage?
g) health or environmental risks?
h) status of school community (calm, alert, panic)?
i) authorities/resources on scene required?
coordinate the schools response to the crisis. Direct Team members in their roles.
decide on who needs to be notified and how – agree on the priorities for notification for Communication Coordinator to complete.
4. Public relations should be handled as follows:
Media Coordinator will prepare statement which is agreed upon by Crisis Team and approved by the Crisis Team Chair.
The Media Coordinator meets reporters and returns all calls promptly
Media Coordinator provides updated information to media as necessary
Identifies and trains FIS employees who have the necessary authority and expertise to make statements
5. In the case of a crisis related to the physical plant the Maintenance Department will:
report extent of damage and any labor and resources needed to replace and restore the campus to normal operations
support and implement plan for restoration
6. The role of the faculty/staff is to:
carefully read the information provided and understand the procedures to be followed
report any information pertaining to the crisis situation
receive updated information from the crisis team and update the students as deemed necessary by the crisis team. Information should be age-appropriate
control rumors
7. The role of the Principals is to:
if not directly involved in the crisis, conduct business as usual
control rumors, receive updated information from the crisis team, and update and staff as deemed appropriate by the crisis team
report any information pertaining to the crisis situation
