Data Management

Overview

The file server is designed as a place to securely store files and protect against loss of data. Data loss can occur from viruses, hard drive failure or malicious activity.

1) Virus Protection - Because Windows systems are vulnerable to loss of data from viruses, the file server runs on Linux. Linux is another operating system that is generally not affected by Windows viruses.

2) Hard drive failure - Hard drives can and will fail. The server has a series of RAID drives that store or “mirror” data on multiple drives. If one drive fails, the data can be recovered from the mirror drive. It is highly unlikely that both mirrors will fail at the same time, but if one drive is replaced, all drives should be replaced.

3) Malicious activity - It is possible to breach any secure system and open or freely accessible systems are not a good idea. The file server resides on the Partners network which is secure to outside access. Internally the server is protected by requiring each user to submit a valid username and password to gain access to the server. Users have access to a common “public” area and a secure “private” area.

Please recognize that failures can and do occur. It is your responsibility to maintain a current back-up of your data (results, papers, work and lab book pdf's) in a non-lab location (in case of a fire at the lab).

What you are required to maintain on the server

    • A copy of all your digital (computer based) results.

    • Your papers (including manuscript drafts figures, literature, data, reference databases).

    • You lab work including a copy of lab book (PDF's) of scanned pages are to be stored in your folder on the main file server.

    • Your data will be maintained after you leave. DO NOT delete your lab folder or data when you leave the lab.

What is never to be placed on the server

    • Music

    • Anything not directly related to your work at the lab

How to Obtain Server Access

The server resides on the Partners network. To access the network you need a Partners login.

If you find it helpful to access the network outside the lab (i.e. from home) you will need VPN access to the Partners network.

Access to the file server is restricted to:

    1. Users with a valid Partner's login.

    2. Users who are members of the Khadmehosseini lab.

    3. Users who have had an account setup on the file server.

Note : If you do not meet any of these 3 conditions you will not be able to access the lab file server.

Connect to your private folder on the File Server (no one else can access this folder but you and Ali)

    1. To access your home folder, login to the Partners network.

    2. Right click on "My Computer"

    3. Click "Disconnect Network Drive" (if it shows any drives delete them. This will not delete data on your computer)

    4. Click "Map Network Drive"

    5. Folder : \\132.183.241.116\username - this is generally the first letter of your first name plus your last name. Make sure the "\\" and "\" are in the right direction

    6. click Reconect at logon

    7. click on Connect using a different user name

    8. enter you user name and password

    9. click Finish

    10. Add folders - Data, Papers and Lab Book. Keep your data, papers and PDF copies of your lab book pages in here. Feel free to add other folders you like.

    11. Remember to regularly back up all data that is on your laptop or memory keys etc

Connect to your public folder on the File Server

    1. Right click on "My Computer"

    2. Click "Map Network Drive"

    3. Folder : \\132.183.241.116\public

  1. click Reconect at logon

    1. click on Connect using a different user name

    2. enter you user name and password

    3. click Finish

Your "network folders" will show up and act just like a hard drive on your computer. Every time you come to the lab it will automatically connect.

Everyone in the lab has access to the folders in the "public" space.

Please be respectful and do not delete other peoples files.

If you add a file, and no longer need it please delete it.
