Covid Safety Policy
COVID-19 Policy
We're enacting the following policies and changes to make our events as low-risk as possible for everyone involved. If conditions change as an event approaches we may update them, with as much notice as we can give to that you can all make informed decisions about attending.
Vaccination and Boosters
Anyone coming to the event will be required to be fully vaccinated against COVID, including any boosters they are eligible for including the bivalent booster. Boosters must be administered at least two weeks before the event to insure effectiveness. This includes staff, PCs, NPCs, kitchen staff, everyone.
Vaccine Verification
The main way to provide proof of vaccination is to send a picture of your vaccine card to us at: crossover.vaccination@gmail.com.
As we receive each email, we will check you off on our list and delete the email. We will not keep any images on record. If you'd prefer to show us proof of vaccination by video, please let us know at that same email address and we'll arrange a brief video conference for you to do so.
If neither of these methods work for you, you can show your vaccine card or a picture of it when you arrive at the game to check in. If you go this route, we will require that you wear a mask at all times on site until you've verified your vaccine status, even outdoors. Anyone who cannot or will not provide proof of vaccination by check-in will be turned away at the door, no exceptions. Please help us keep our stress levels down by not letting it come to that.
If you arrive partway through game, please come to the front door of monster camp, knock, and wait until someone is able to come out, verify your vaccination status, and check you in.
Because of the necessity of vaccine verification, we ask that everyone who'll be attending please pre-register well in advance, even if you might normally (for instance) just day-trip to NPC for a short time. It will be much easier for us to track vaccination status if we have a clear list of everyone who will be there.
In Case of Illness
If you are not feeling well as the event approaches, we ask that you not attend. We understand that there's overlap in symptoms between COVID and other illnesses and allergies; if in doubt, please get tested, and err on the side of not risking getting anyone else sick, even with a cold or flu.
If you feel unwell after the event, we encourage you to get tested and, in the case of a positive COVID test post-game, to please let us know so that we can alert everyone else of their exposure risk. As with vaccination cards we will not keep that email or any record of it, and we will not disclose who has tested positive, only that there was a risk of exposure.
Masking
Masking requirements for our events at Camp Allen will be as follows:
Monster camp, indoor encounter areas, and the shrine of the gods: masks should be worn at all times.
The tavern: masks should be worn unless actively eating or drinking.
Sleeping quarters: because of the practicalities of sleeping, showering, etc, masks are optional. We intend to compensate for this by assigning people to larger or smaller cabins by their preference. Please let us know in the "Housing" section of your preregistration which sort you'd prefer, and with whom you'd like to stay. Tenting is also an option for those who prefer it, but the site has limited space for tents so please let us know in advance if you plan to.
We also encourage everyone to mask up at whatever other times you feel necessary or useful. We're aware that this policy is stricter than the current governmental guidelines, but we think it's necessary in order to protect vulnerable members of our community.
Event Flow Modifications
We'll be changing how some things work at the event to make things safer and run more smoothly:
We'll be forgoing the usual window coverings in buildings we run encounters in so that we can keep those buildings better ventilated. The slight hit to the in game atmosphere will be well worth the added safety.
We'll be running more activities outside than usual, including both fights and roleplaying encounters.
Camp Allen has a number of pavilions and other outdoor hangout spaces in town which we encourage folks to use.
We encourage players to change their normal character makeup and costume in whatever way they wish to in order to make masking more practical. We also ask that everyone roll with it when and if we need to alter NPC makeup similarly, or omit monster masks for safety reasons. We plan to design large encounters in such a way that it's less likely there will be confusion between creature types.
We'll be providing individual small makeup kits to each NPC to avoid the risk of exposure through makeup supplies. We encourage any NPCs who have preferred types of makeup supplies to bring their own, but individual makeup will be made available to any NPCs who need it. We hope this will also help us alleviate the usual crowding at the makeup station in monster camp.
