Purpose
Box Office Settlement Statements are required for all shows, even in-house, as they are used in Annual Accounts
Box Office Settlement Statements are used for calculating and 'proving' Royalty Payments due to writers
Box Office Settlement Statements re used for calculating and 'proving' the Box Office Settlement payments due to/from VCs or Co-Producers
Financial Process
Ticket, Merchandise, Donation and Membership information takings from Spektrix report
Show expenditure from Accounts listing (should match Show Budget)
Both to be coded according to the model in the Bank Rec sheet
Principles for a Co-Production:
1. Treat all ticket and programme sales as VC (Ticket Return, not Ticket Sales)
2. Any Income we earn needs to have an invoice line (can't just be included as an adjustment in the Settlement).
- Ticketing Fee (included in Box Office Ticket Sales)
- Programme Fee (included in Box Office Mechandise Sales)
- Theatre Hire (include in Arcola Venue Charges section)
- Marketing Services (include in Arcola Venue Charges section)
3. Arcola share of Ticket Sales
- Use the BO Contra Ticket Sales Code - "15. Arcola Ticket Sales Share"
- Includes: our share of the show surplus/loss, any Creation & Running Costs not already received, any Royalties we pay
- EXCLUDES: any income already 'invoiced' e.g. Theatre Hire, even if this has not been paid
