This page shares various tools that apply to all programs. The tools help us deal with issues & problems that arise at the program level.
Who you gonna call? - The problem escalation matrix shows the best person to escalate specific issues to, and how they should be escalated.
This document is intended to get you to the person who can best help you, but is not intended to reduce your ability to reach out to anyone in the organisation for advice and discourse. Feel free to office hours or reach out to individuals to discuss subjects in general.
Crisis Management - Our Crisis Communication Plan sets out how we should communicate about crisis / emergency situations to enable support from the whole organisation to the place where it is needed. This policy document informs the security plan (part of the program workbook) and site specific Contingency Plans ((medical emergency, lockdown, evacuation, etc…)
Contingency Plans - Each program has a set of specific contingency plans to help prepare the team with the resources and protocols they need to address foreseeable threats. Every staff member on a program should be aware of their specific contingency plans and emergency protocols. If you are not aware of these essential plans, escalate to your Program Director, or Rich Evans - Director of Health, Safety & Security.
Incident Reporting - we ask that all incidents are logged on our Incident Reporting System. You can see more about the system on the Incident Reporting page of this Portal.
Sexual Harassment, Exploitation or Assault (SHEA) - AHAH will not tolerate any form of sexual misconduct. As staff, we each play a part in setting the tone, providing an example of behaviour, and setting the expectations of our peers and volunteers when it comes to sexual misconduct on base.
Please see this section of the Portal for our SHEA guidelines.
Remember, it is vital that we treat any report which involves an element of SHEA immediately.
Our general initial action plan is:
Separate the individuals, prioritising the survivors feeling of safety and well-being;
Contact HR immediately (or any one in your line of management (including members of the Leadership Team) if outside of typical working hours (9-5ET);
Log any SHEA incidents using the "confidential" flag.
Disciplinary guidance - Our disciplinary processes are there to guide you in dealing with issues with both staff and volunteers where actions or behaviours require disciplinary action.
Our disciplinary process describes how we handle and consider disciplinary actions.
Our disciplinary outcome matrix is a tool to help us be consistent in our disciplinary actions, according to the severity and likelihood of the action or behaviour.
Wellbeing & Mental Health - you can find resources on promoting positive wellbeing and on how to prepare to respond to a mental health crisis on this page of the portal.
COVID-19 - our guidelines, including response protocols to COVID-19 can be found on this page of the Portal.
