Inventory Transfers

This topic explains how you can customise Transactions to be Transfer Orders, used to manage the transfer of inventory items from one location to another.

You will need to create two transaction types, one to Transfer Issue (TI) and one to Transfer Receive (TR).

The transfer process starts by creating a TI transaction, setting the From and To locations and then adding items to the Transactions. Only Items that are linked to both the From and To locations can be added. The Location is automatically set to the From location in the transaction header and can not be changed at the Item level. If the From location is changed in the header, the locations in the items are updated accordingly. See image below for an example of a TI transaction:

When the transfer is complete or part complete, the TI transaction is copied to the TR transaction to receive the items. The location in the TR transaction is automatically set to the To location in the Transaction header and, where applicable, the Business Entity to which the transaction is linked, is updated to the default business entity of the To Location.

Multiple TR transactions can be created from one TI transaction. Each time a TI is copied to a TR, the quantity will default to the Outstanding quantity that has not yet been received.

Getting Started

Inventory Locations

Navigate to Items > Menu > Edit Locations.

If multiple Business Entities (Branches, etc.) are used, the Inventory Locations need to be linked to a Business Entity.

Transfer from (TI)

Navigate to Main Menu > Setup > Transaction Types.

  • Pricing Items = Inventory Price

  • Resolve Items = Reserve or Issue (Don't select both)

  • Item Type = Stock Transfer - Issue (ID = 4)

Transfer to (TR)

Navigate to Main Menu > Setup > Transaction Types.

  • Create = Copy only (ie. TR transactions can only be created by copying from a TI transaction

  • Pricing Items = Inventory Price

  • Resolve Items = Order or Receive (Don't select both)

  • Item Type = Stock Transfer - Receive (ID = 5)

Do not create a pending non-Inventory Status on these Transaction Types, other than a canceled status. (ie. where the Inventory checkbox is unchecked) If a pending status is required to prepare the goods for transfer, create another Transaction type named, say, Transfer Request (TQ), which copies to the Transfer from (TI) Transaction.

Disable VAT on the Transfer Order transaction types.

For maximum flexibility and control, you are able to use four transaction types that manage the stock transfer process: Setup a Transaction Type that Reserves Inventory (Default Item = Stock Transfer - Issue), which copies to a Transaction Type that Issues (Default Item = Stock Transfer - Issue), which copies to a Transaction Type that creates an inventory Order (Default Item = Stock Transfer - Issue), which in turn copies to a Transaction Type that Receives the Stock (Default Item = Stock Transfer - Receive).
