Customer Age Analysis

The Customer Age Analysis module provides all the functionality required to manage your accounts receivable. In addition to showing outstanding Invoiced amounts, it also displays what the current Work in Progress is.

The Age Analysis shows Total Debits (Invoices) less Total Credits (Receipts, Credit Notes etc).

Key features

  • This module gives users the ability to view the Accounts Receivables as at a specified current or historic date

  • Users can E-mail statements to an individual Customer, or to all the Customers in the list simultaneously

  1. Date - This field defaults to Today, but can be changed to backdate the Age Analysis.

  2. Entity - This allows users to select the Entity they wish to view from the drop-down list.

  3. Check Boxes - These to set how invoice balance gets reduced.

    • All Accounts - If checked, this will display all active Accounts in the database. If not, only accounts with amounts outstanding/owing will display.

    • Local Currency - If checked, all Accounts will display in the local Currency, else ageing will be in the Customer's Currency.

    • Use Allocations - If checked, the ageing is calculated based on how receipts and credits were allocated to Invoices. If unchecked, the calculation is based on allocating receipts and credits to the oldest outstanding Invoices.

  4. Data grid - This shows the Customer Age Analysis information. Drill-down functionality is available by right-clicking on a record to access Customer or Customer Summary details. The following fields are explained below:

    • Account This is the Customer name.

    • Credit Limit - This shows what Credit Limit, if any, has been extended to the Customer. The field will show red when the Credit Limit is exceeded, and will issue a warning in the Sales Order module should the Customer wish to place more orders.

    • Overdrawn - This shows by how much the Credit Limit has been exceeded.

    • W.I.P - This shows the value of work that is in production for the client.

    • Total + WIP - This shows the total outstanding amount plus work in progress.

    • 120 days - Current - This displays outstanding invoices based on their ageing.

    • Unallocated - This shows receipts or credits that have not been allocated to invoices.

    • Total - This shows the total outstanding amount per account.

  5. Menu > Suspend Accounts over Credit Limit - This functionality allows users to suspend accounts that are over their Credit Limit, so that no more transactions can be put through until payment has been made.

Note

To send a Statement, click on the Customer in question, then navigate to Output > Print (or Email) > Statement.
