BOS provides a single truth about each customer to every customer-facing employee. This means that there are no duplicate, out-dated or isolated customer records. The business has access to the most current, most accurate version of the customer's details, including useful, personal notes, on one central system.
Main Menu > Setup > Customers
Data Filter - This filter allows you to view Customer records by Date, Category, Rep, Status, Terms, as well as Search by Account Number, or by using text and filtering Customer records that are Starting with..., or for records containing specific text.
Data Grid - This shows the Customer records by Name, Account Number, Category, Rep, Status, Terms, VAT No, Credit Application Date, Currency, VAT, Credit Limit, Type, Entities and Price Lists.
Menu - The Menu provides additional functionality.
Set Adjustments - This allows you to edit Markup and Commission defaults that will apply to all Customers.
Edit Categories - This allows you to edit Customer Categories.
Edit Job Descriptions - This allows you to edit Customer Job Descriptions.
Each Customer record contains Detail, Contacts and Accounting information.
Name - This is the Name of the Customer.
Register as - This is the full Name of the Customer.
Type - There can be two Types:
Company - Where a list of Contacts are added to the Company.
Individual: Where the Company is a Sole Prop or Individual.
Detail - This is where the Contact details, Addresses, and default Sales Representative are entered.
Accounting - This tab contains the Accounting information.
Account Details - This is where the Customer's Account Details are entered.
Status - By default a new Customer is set as a Prospect. In order to create a Sales Order, the Status needs to be set to Occasional or Active
Account No. - This is important if the business needs to export financial data to Pastel, as it will match records by the Account Number.
VAT Details - The VAT check box specifies whether the Customer is VAT incl or excl, and affects Sales Orders and Invoices. Quotes are VAT excl by default.
Credit Details - This setting specifies when an outstanding amount is deemed 'overdue' in the Customer Age Analysis.
Adj % Items / Estimates - These fields show the Customer-specific Adjustments for Items and for Estimates.
User Fields - This is where Customer User Fields will show. See more on User Fields here.
Contacts - This shows the Contacts that are listed against this Company.
