Alerts give you additional error-checking functionality and serve to warn users if there is an omitance or oversight, before moving to the next step in the process. This is in order to cover the business from human errors or potential profit loss.
Main Menu > Setup > Transaction Types > Alerts
Transaction - This lists the Transaction Types setting that can be selected from: Copy Rules, Output (Print, Email, etc), and Transaction Items.
Transaction Items - Purchase Price Difference - This Alert has been updated to only show price differences when purchasing in the same currency.
Link - This identifies what Transaction should be linked to the Alert.
User - When a User is selected, the alert only applies to that user, else it applies to all users.
Check - This specifies what should be checked against the Alert.
Action - This allows the user to specify what Action will be taken when activated - produce a warning, or block the user from progressing until the error has been resolved.
Equate - This drop-down list determines whether or not an equation is considered before producing an Alert.
Value - This numeric value is the parameter for the equation that will determine if the Alert is triggered or not.
Value (Overide) - This numeric value is the amount that a user can override. ie. it turn a Block into a Warning. Alerts with an Overide will normally have a selected User.
These Alerts are applied when you copy a transaction using the selected Copy Rule. Alerts include:
Company is blank
Rep is blank
Available Credit - Applies to Customer transactions and requires an equation and value to be set
Total - requires an equation and value to be set
Transaction Item Alerts - Checks the Transaction Item Alerts - see below.
These Alerts are checked and applied when you try to Output a transaction - ie. print, preview or e-mail a transaction. They are the same as the Copy Rules Alerts.
These Alerts apply to the Transaction Items and are displayed in red under the item when the Transaction is in Active or Pending Status. They include:
Total = 0
Qty = 0
No Description
Insufficient Stock Available (Reserve/Issue Items) - The Item quantity exceeds the quantity available in Stock
Min. Markup (Set in Item Categories) - This protects you from discounting more than is considered to be a sustainable level. The Min Markups are set in Item Categories.
Issue does not match Reserve (Reserve Items) - This warns you when the quantity on the linked stock Issue/s linked to a Reserve item do not match.
Receive does not match Order (Order Items) - This warns you when the quantity on the linked stock Receive/s linked to an Order item do not match.
Downstream Transaction status not Complete - This warns you when the linked transaction created from a transaction item is not yet complete.
Invalid Resolve - This warns you when the transaction only has one resolve option (like Issue or Receive) and the Item is not set to that Resolve - eg. The Stock location has not been selected.
Available Stock - This requires an equation and value to be set to measure and warn you about available stock in the selected Location.
Purchase price difference (%) - This requires an equation and value (percent) to be set. This alert only applies to Transaction Types where Default = Purchase Orders and is used to warn you when the purchase price on a transaction has changed by more than X percent compared to the last Purchase Order.
