When you create a Quotation and Estimate, the system access content in the Services section to give a realistic value to the quotation that covers all areas of production. This content is also referenced in the Production module.
Instructions can also be added to each Service for the production staff to view, in order to ensure a predictable, sustainable standard of production throughout the business.
This topic shows you how to set up Services.
Main Menu > Setup > Services
Data Filter - This filter allows you to view Services records by Category, Supplier, Cost Centre, or by Description.
Data Grid - This shows the Services is by Service, Quote Description, Category, Provider, Entities, Setup Hrs, Speed (hrs), Quantity, Setup Costs, Unit Costs and Outwork.
Menu - The Menu provides additional functionality.
Edit Categories - This allows you to edit Service Categories.
Copy Category - This allows you to copy a Service Category.
First setup a Service Category (click Add) before adding a new Service Item.
Each Service record contains Service, Production, Components, Defaults and Pricing information.

Description - Enter a Description for the Service. The Description is what appears on all lookups. Click Copy to copy the Description to the Quote description. Select Entities where applicable. Select the base Unit.
Service Provider - This is where it is specified if the Service is linked to a Cost Centre or a Supplier. If linked to a Cost Centre, the R/Hr (rate per hour) will automatically populate.
Production Time - This can only be populated if the Service is linked to a Cost Centre.
Setup (Hr) - This is where the time it takes to setup this Service is entered.
Speed / Hr - This is where the duration or speed of the Service per hour is entered.
Components - This is where the Component settings of the Service are selected. Components are the nodes to which Materials and Services are linked. Components can also be linked to Components to expand the depth of the Treeview.
Qty - This setting determines how the Qty will be calculated. Options include:
Fixed - Quantity = Fixed (Repeat Quantity)
x Repeat (x) - Quantity = Repeat x Parent Qty
x Repeat x Size (x Size) - Quantity = Size x Repeat x Parent Quantity
Size - This provides a way to measure the quantity of a Material or Service that is typically measured in Size, Area or Volume. When using the Size to calculate the quantity, the Qty > Type needs to be set to x Rpt x Size. The following size Types are supported:
Size - You can enter a Length, Area or Volume
Dia - You can enter the diameter of a circle
DxW - You can enter the Depth & Width of a rectangle
DxWxH - You can enter the Depth, Width & Height of a cube
C.Dia - The Diameter of a circle is extracted from the parent Component. The parent Component must be set to Type = Dia
C.D - The Depth of a rectangle is extracted from the parent Component. The parent Component must be set to Type =DxW or Type = DxWxH
C.W - The Width of a rectangle is extracted from the parent Component. The parent Component must be set to Type =DxW' or Type = DxWxH
C.H - The Heght of a cube is extracted from the parent Component. The parent Component must be set to Type = DxWxH
C.Area - The Area is extracted from the parent Component. The parent Component must be set to Type = Dia, Type = DxW or Type = DxWxH
C.Volume - The Volume is extracted from the parent Component. The parent Component must be set to Type = Dia or Type = DxWxH
C.Border - The Perimeter or Circumference is extracted from the parent Component. The parent Component must be set to Type = Dia, Type = DxW or Type = DxWxH
D - Depth
W - Width
H - Height
= - This is the Total Volume of the Component by Unit
Defaults & Options - This is where default settings and lookups are set.
Service Category - This sets the Service Category for the Estimate lookups.
This Service Quantity is set by - This sets how the Service Quantity will be calculated.
Fixed Qty - This allows you to input a quantity for the Service during the Estimate process.
Estimate Qty - This enables a calculation based on the Estimate quantity.
Select / Change the Adjustment option - This sets whether or not the Service is affected by overall Adjustment.
Add this Service to the Quote Description check box - This determines whether or not the Service will be displayed on the Quote description.
Update this Service when a Quote is updated from Setups - This determines whether or not the Service is updated when a Quote is updated from Setup. Eg, When a quote is copied for a customer, but a price change has since occurred; this setting allows the quote to have updated prices pulled while maintaining the copied quote's specifications.
Pricing - This is where the costing parameters are set for this Service. This is based on quantity as opposed to Cost Centre hourly rate.
Cost - This is where the cost price is entered and includes a field to enter Setup costs and Unit cost. This data helps users better measuring profitability.
Min Cost - A Minimum Cost has been added to the Printing Service which is individually applied to each quantity on the estimate. The minimum cost is applicable to the Printing Service only. ie. excluding the Paper and Ink cost. Enter the Min Cost in the Press tab of the Printing Edit Form in an Estimate.
Adjust % - This field allows you to enter a markup % on this Service.
Round-up Quantity - This determines the value that the Quantity must be rounded up to.
Instruction - This is where any instructions relating to the Service can be added. This will appear on the Work Ticket for ease-of-reference during Production.
We recommend using Categories to group similar Services and Items. This ensures that, if a user changes a Service or Material on the Estimate, the system will prompt them to select another Service/Material from the same Category.
