Cost of Sales

The Cost of Sales Module is a Reporting module where users can see the Costs linked to any Sales Order or Work Order. This includes all the cascading costs that are linked to a transaction. eg. The costs for a Sales Order will include costs that are directly linked to the Sales Order as well as Costs that are linked to Work Orders which were created from the Sales Order.

  1. Data Filter - The Data Filter works differently for Transaction Sales Orders and Work Orders as follows:

    • Sales Orders - The date selected is used to filter by the Invoiced date.

    • Work Orders - The date selected is used to filter by the Work Order date.

    • Invoiced Date - Select this to filter the Data Grid by the linked invoice date, instead of Transaction Date.

  2. Quantity - This shows the estimated Qty, actual Qty, and variance Qty. When filtering on Invoiced Date, the Invoiced Total is used in the Summary.

  3. Summary - The Summary band displays the Total, Cost and Profit as well as the Gross Profit and the Markup as a percent. These are calculated as follows:

      • Gross Profit (GP %) - Profit / Total * 100;

      • Markup (MU %) - Profit / Cost * 100;

  4. Menu > Views - Four different Views are provided.

    • Items View - All costs linked at an Item level are displayed. In the Items View, the data grid is divided into four bands: Transaction, Item, Costs and Summary. The Transaction View is similar, but does not have the Item band.

    • Transactions View - All Costs linked at a Transaction level are displayed.

    • Detailed Ledger View - This shows the Ledger Transactions along with Debit / Credit Accounts, Currencies etc, for the selected Transaction Type.

    • Setup View - This shows a list of Transaction Types linked to the Transactions that populate the Cost Types.


Drill-down functionality is provided by right-clicking on an Item/Transaction to open the popup menu which includes:

  • Open Transaction

  • View Linked Transactions

  • View Items Summary

  • View Stock Issued - Opens a list of linked Stock Issues

  • View Stock Returns - Opens a list of linked Stock Returns

  • View Purchases - Opens a list of linked Purchases

Updates

  • Date Filter - The filter has been changed ot allow users to explicitly select whether to filter on Trans Date or Invoice Date. If the Invoice transaction type is not identified in the Costing Rules, the Invoice Date option is disabled. When the transactions filter on Invoice Date, the Invoiced column is displayed in the Summary, and the profit is calculated on the Invoiced amount. Unlinked Invoice Items will also display when filtering on Invoice Date. See image below:

  • Unlinked Costs are now displayed in the Items view.

  • Drilldown functionality has been added to the Job summary.

  • Audits - Rebuilds - Rebuilds of the Cost of Sales is now Audited.

Getting started

User access to the Cost of Sales module is setup in User Settings > Accounting > Cost of Sales Module - Access Allowed.
