BRIEFING
Initial incoming email:
Following the initial email from the client explaining their requirements for the project, i.e 6x shoes, deadline.
Project tracker:
The JD team will need to fill out the template within the project tracker.
This will give us information such as:
Priority, PLU, Sample name, Reference image, scan requirements and output requirements.
When this information has been received, the AD / Project manager will run through this with Todor/Alex to see if set deadlines are achievable and if not, what would be.
If we’re in need of extra time, this is where this needs to be communicated to the client.
QUOTING
Once this has been filled out by the client, Lauren to cost this based on the rate card.
Client approves.
PRE-PRODUCTION
Ftrack project , Dropbox folder, MS teams channel and PDrive folder setup.
Project naming:
To keep consistency with previous projects, we would need to follow ‘VM8008_JD00….’ convention.
“VM8008_JD*job number* _ *project title* _ *date of project*”

Dropbox: CAPTURE PRODUCER
This is the simple case of creating a fresh Dropbox folder, which is then shared with the appropriate person at JD (DAN / LEO) and the link will need to be put at the top of the corresponding Project Tracker sheet.
PRODUCTION
Project Tracker input:
Throughout this process, the project tracker will need to be filled in. This is in the form of a traffic light system and will need to be updated regularly, to keep both client and wider business updated on project progress. This will need to be filled in by both UK and BG teams.
Validation:
When the shoes are delivered into the office, we need to cross reference these with what the client has put into the Project Tracker; Using SKU, image reference / colour descriptions.
Capture:
Colour Capture (30mins average):
Before we rig the shoes, we need to CC them in the normal process and upload the RAW .CR2 + JPEGs files into the project folder under the corresponding name.
Photogrammetry Rig Capture (2.5hr average):
These need to be captured correctly and accurately; Sprayed, Polarised, Non polarised.
Validation: CAPTURE PRODUCER
Once these have both been captured. Someone from within Capture studio, will need to validate these to make sure:
The images are correct in both colour and what it includes.
All images are useable (light evenly, not corrupt, colour is eye accurate)
Processing:
Once products have been captured in the studio and validated. Ftrack task will need to be set to ‘Complete’
Once the reference path has been inserted into the ‘Info’ tab, the ‘Processing’ task needs to be set to ‘Ready to start’ - in order to indicate to BG that these are ready.
Pavel will then process these, before uploading processed files into the corresponding folder.
Modelling:
Once that has been completed, Pavel will signal to Todor/Alexandra Koleva that these are ready to go to freelancers for modelling first versions.
Following on from receiving the model from freelancer and any amends have been completed, this is then passed through final QC BG side, to make sure the model is correct and there are no errors.
Pavel will then post on the MS Channel, that these are ready to go in the ‘DELIVERY’ folder.
DELIVERY
Once approved from the BG side, the UK team does one final check over of the model to make sure it's correct.
Following Project Manager’s approval, the files which are in the ‘Delivery’ folder on Pdrive, will need to be copied into the Dropbox folder.
We are usually delivering to the client - .OBJ file with the model, all the MAPS collected in one folder, all available last renders, all CC_PHOTOS we’ve originally shot.
This will then need to be communicated to the client, that these are uploaded and ready for their approval.
