In Rooms, 'Messages' refers to a direct communication that allows a group or individual to reply. Directions to send one-way information that does not allow for a reply can be found on the 'Announcements' page.
Step 1
Select 'New' in Messages.
To open Rooms you will first need to log in to Apptegy. Directions for that can be found on the Apptegy Login page.
To communicate in Rooms you will need to have set up the Class. Directions for that can be found on the Rooms Set Up a Class page.
Tasks 7 on the Apptegy task list or this set of videos, created by Apptegy, is an alternative to following the directions below.
A. Once you have logged in and completed setup, in the Apptegy menu at the left, select the Rooms icon so the sub-menu under it opens. Your menu may have different options depending your role in the district and the way you set up Rooms.
B. Select the 'Messages' icon from the 'Rooms' sub-menu.
C. Select the purple 'New' button.
D. Type a name in the 'Search messages' bar to reduce the 'Suggestions' in the contact list.
E. Select the information icon to view details about the contact.
F. Select the student or guardian's name to add them to the 'To:' list for your message.
G. Alternatively, you can select the purple circle icon to select check boxes of individuals to add all at once.
Step 2
Complete and Send Message
Once you have started adding recipients to the 'To:' list, information about your message is added.
A. Select the 'X' after any name to remove them from the 'To:' list.
B. Optionally, add a group name for easy identification of the group later.
C. Read through the 'Group message' message closely for how the message is sending. It lists who will receive the message but also indicates if individuals will be able to message each other.
D. This checkbox only appears if you selected more than one person to receive your message. Checking it sets the message so it is sent to each person on the list individually. This is similar to sending a blind copy in email. The messages reach everyone on the list but they cannot respond to others because addresses are hidden. When you check this box the 'Group message' described in the previous step will change to indicate the message will be sent directly.
E. Place your cursor where it says 'Start typing message'. Be cautious not to use the Enter button on your keyboard because that will send the message.
F. Select the '+' icon to add an image or file to your message.
G. If you reference a person in your message you can select the '@' icon and then select their name from the list so that their name in the message turns into a hyperlink allowing others to contact that person.
H. Select the microphone icon to use the speech to text feature.
I. Press enter on your keyboard or select the paper airplane icon to send the message.
When you are sent replies the messages will contain options to reply back.
