There are many different reasons to leave the school district and each position may have special circumstances. These are general directions, written from a technology point of view, that may not cover everything you should do in your situation. A short time after you leave the district your Network and Google account access will be terminated. An archival record of the account will be retained but you will not have access to it and any email sent to the account will be returned to the sender as undeliverable.
Let your supervisor know you plan to leave. Consider discussing:
Dates you plan to leave and how much flexibility you have with that date.
How to help make a smooth transition to the person taking your place.
If and how you will be reachable after you leave.
Make sure to update your contact information with the school district by sending an email to the district's Executive Administrative Assistant, (Kelsey Brewer at kbrewer@bwsd.k12). Consider adding a note in that email to give Kelsey permission to add your contact information to the list she shares for social reasons, such as inviting staff to future retirement parties.
Cancel online accounts you used in your position that you will no longer need. Personal accounts should not be tied to your district Google Account but if some have been you will need to contact those companies to change your account information. Consider opening the 'passwords' app in your app menu (waffle menu) to view all the passwords Google has saved for you. This may remind you of accounts you will need to disconnect.
Read directions to Set Email Auto-Reply if you would like to create a message to automatically reply to anyone emailing your account. Consider including a private email address people could use to reach you.
Consider following directions to 'Auto-Forward Email' so all or just specific emails get forwarded to a personal account you will have access to while away.
Contact Human Resources department (Michelle Sell at msell@bwsd.k12.wi.us). Mention you are leaving and ask if she needs anything to ensure you receive any benefits you have coming.
Contact your school's Media Center and request a list of materials you have checked out and need to return.
If you will work with a person replacing you, consider using the 'Schedule Appointment' button at the bottom of this page to arrange a time for any technology help you may need while working with them during the transition.
(Teachers) 'Archive Google Classroom' classes you will no longer use. Leaving them active causes problems the following year.
Depending on the date you are leaving and your position in the district, you may find items on the 'End of School Year' Checklist that you should consider completing.
Retain files you want to keep. You will loose access to your district Google Account soon after you leave the district so should transfer data you want to keep to a personal account. You can follow directions to:
Transfer File to Removable Drive to transfer files on your laptop to a device you can carry home.
Move Files to Google Drive which moves laptop files to your Google Drive so that they are accessible at a home computer or ready to transfer when you perform Google Takeout.
Attach documents to an email you send to a private account.
Transfer Google File Ownership to a private Google Account. It is important to note that simply sharing a document to a private account will not be enough. You need to reenter the share settings and switch ownership to the private account. Alternatively you could also use the private account to make copies of the documents you've shared with it. If you only share the document and your School District account is the 'Editor' then you may loose access when your district account is closed.
Google Takeout - Google may recomended using this process to select and transfer your district account data to a private account. It does take some time and does a more thorough job then most staff feel is necessary, such as transferring use history from all Google Apps. For security purposes the district puts a 15MB limit on the data that can be extracted at one time which often exceeds what Google Takeout extracts. So,if you feel you need the detailed information it is suggested you first transfer as much data as you can using methods explained above and then delete the data you transferred from your district Google Account before proceeding with Google Takout.
Do a final check for any accounts you were not able to disconnect earlier. Also, consider rechecking Google's 'Password' app in the app menu for passwords you would like to delete. Consider also that your classroom display may also have some connections to your personal accounts.
Transfer any new files or data you created since transfering files earlier. It may help to sort your Google Drive by date to review anything you have recently made.
Return technology to the IT department. The front office in your building may have a designated place to leave these items.
Use the button at the bottom of this page to 'Submit Help Desk Ticket' to send an email notifying the Technology Department the devices you will turn in and where it will be left.
Turn in your laptop, Chromebook, and charging cords. (Remove any personal stickers or USB dongels)
Write a note with any personal passwords you have for classroom technology, such as your classroom display. Also include any information about repair your technology may need.
Turn in your key(s) and fob to the Administrative Assistant in your building.
