Following these directions for requesting time off using Employee Access does NOT send an immediate alert to the district that you will be absent. If a substitute is needed for you in the next couple days you should also call in your request to the sub line at 715-688-3500. These directions, which may be followed even after an emergency absence, bring you through the process of approving your absence, a necessary step for your substitute to get paid. Step 1
Sign in to Employee Access.
Don't confuse the Employee Access with Educator Access that teachers use to take attendance and record grades. The two login pages look similar but should require different passwords because they lead to different parts of Skyward.
Step 2
Select 'My Requests' from the 'Time Off' menu.
If you do not see the 'Time Off' menu, you may need to select 'Employee Access' from the dropdown triangle next to the 'Home' menu.
Step 3
Select 'Add'
Select the 'Add' button on the right to add a new request.
Step 4
Fill in Absence Type and Reason
A. Select the 'Time off Code' that is appropriate for your absence
B. Select the 'Reason' for your absence (which may be the same as your Time off Code)
C. Some absences require an explanation. The employee handbook outlines those requirements.
Step 5
Fill in day(s) absent.
If you will be gone for one full day (or less)
A. After 'Type' select 'Single Day'
B. After 'Start Date' type (or select) the date of absence.
C. After 'Days' type in 1 if you will be gone a single day or type in 0.5 if you will be gone half a day.
If you will be gone for more than one day
A. After 'Type' select 'Date Range'
B. After 'Start Date' type (or select) the first date of your absence.
C. After 'End Date' type (or select) the last date of your absence. (this option does not allow you to select half days)
Step 6
Complete form
A. After 'Start Time:' select the time you will be absent from work. This will likely be 7:30 AM unless you will only be gone in the second half of the day.
B. Check the box if a substitute will be needed (or was needed) to cover your absence. Checking the box will bring you to the Red Rover substitute request system after you save your Skyward request. You may want to refer to this Red Rover training video.
C. Select the link titled 'Select Employee(s):'. A list will appear and you can use the field at the bottom right to search out the name(s) of your building supervisor and the Administrative Assistant in your building. Check the box in front of their name and select 'Save' at the top right. That should put their name in the box to the right of 'Select Employee(s):'. Those people will be notified you are requesting days off. You can add any names to that list you like but each school usually requires you include:
Your direct supervisor
Linda Demotts (the substitute coordinator)
The Administrative Assistant in your building.
D. Select the 'Save' button when you are ready to submit your request or select the 'Back' button to delete the request.
Step 7
The request you submit is sent to staff who need to approve your request. If you do not receive an approval response you should not assume a substitute will be here when you are absent. If you place a request and do not get a response in time for your absence you should talk with your supervisor or call the sub line at 715-688-3500 before being absent.
