Summer School attendance is necessary for the school district to receive funding from the state. Use these Sheets to submit your attendance unless your supervisor has directed you to use an alternative.
Step 1
Copy Attendance Sheet
Select this link to open a copy of the Google Spreadsheet (shown at right). When prompted you should agree to save a copy in your Drive. You may want to move the file to a place in your Drive and/or create a bookmark for it so you can find it easily.
It is preferred that you record all data in the spreadsheet and email a link to the District Office. If you need a hard copy of your attendance sheets you can skip to the printing directions below at any time.
Step 2
Fill Out Teacher Section
A. Fill in the approved name of your class. Some have similar names so please be consistent with the name you have used previously so we can match it up with others across the district.
B. First and last names of the teacher(s).
C. Fill in the grade level(s) your students will be in the following school year. If you class has both High School and younger students you need to indicate how many of each you have. For example if a class has ten students who will be 8th grade and five students who will be Freshman a teacher should fill in: "5 HS, 10 younger".
D. Fill in the time when your class begins.
E. Fill in the time when your class ends.
If your class has irregular beginning and ending times you should attach additional information communicating the schedule so we can calculate the total hours students spent in the class.
F. Fill in the month and date you first had students.
G. Fill in the month and date you last had students.
Step 3
Fill Out Student Section
A. Fill in Student's First Name
B. Fill in Student's Last Name
C. Week 1 refers to your first week of teaching and not necessarily the first week of summer school. In the column for the correct day of the week fill in an A if the student is absent and fill in an X if the student is present. If a student is not in class for the full time for the class please write in the number of minutes they are in the class that day.
D. Continue into Week 2 and Week 3 if you need it. Use the tabs at the bottom of the Sheet if you need more weeks than that. Class information and names should be copied forward to those sheets.
Step 4
Submit Your Attendance
It is preferred that you submit attendance electronically.
A. Select the 'Share' button to make sure the share settings include all staff that will need access to your attendance sheet. This includes Jen Haugen (jhaugen@bwsd.k12.wi.us), Michelle Sell (msell@bwsd.k12.wi.us) and any of your direct supervisors who need your attendance data.
B. Please remember the Share Notification option is not working in the district so you will need to copy a link to the document and email it to the staff who need it.
Step 5
Print Attendance Sheets
It is preferred that you complete and submit your attendance electronically, however you can print your sheets at any time before or after you have filled in data.
A. Select the printer icon from the Menu Bar. Alternatively you could also select 'Print' from the 'File' menu at top.
Step 6
Print Attendance Sheets
A. In the printer settings that come up select 'Current Sheets' from the dropdown menu. If you have multiple weeks to print you could change this selection to 'Workbook' which will print every tab. You could limit how much is printed by deleting tabs you won't use or just print a week and then switch tabs and repeat the printing process for the other sheets individually.
B. Letter (8.5" X 11") should be set by default for the paper size.
C. Make sure 'Portrait' is selected for the page orientation.
D. Select 'Fit to page' for the scale. This resizes the sheet so its parts don't overlap onto several other pages.
E. Normal should be set by default for the margins.
F. You should not set or turn on custom page breaks.
G. You should not change Formatting or Headers & Footers.
H. Select the 'Next' button and procede with selecting a printer and its options. The printer selections also give you the option to save as a PDF which is a format that can save to your Google Drive or desktop and will share through email easily.
