CONFERENCE COMMITTEE NOTES – DECEMBER 5, 2016

Attending: Nancy Shippen, Chris Campbell, Alice Waco, Betsy Simmons, Valentine Doyle. Notes by Nancy Hutchins

THEME: “Journey of Change: Transforming Conflict, Self and Community.” Consensus seems to be forming around this one.

PUBLICITY:

TRANSFORMER: Chris has draft material ready to go with some holes in it. It is still not clear when the material is needed by the editor, but they have been advised that the issue won’t come out until later in January so they feel they have some time. NEEDED: some pictures of the venue to add to the information.

EMAIL: Plan on an early January release of what information is available.

CONTRACT: Final issues are being settled regarding the contract. Not everyone has seen the proposed contract. It needs to be shared with the National Committee as well as the local team. The President of AVPUSA signs the contract.

WEBSITE: We decided it makes sense this year to open the registration and website after Feb. 7 when Rick has returned. However, registration information needs to be shared with Rick before he leaves on Jan. 15 so as much as possible can be done before he leaves. Also, the local committee will need to talk one on one with Rick to learn how to put the narrative material up on the website.

REGISTRAR: Waiting for final agreement from a candidate that she will be able to do this job.

SPEAKER(S): Everyone agreed that it is possible to have more than one plenary or speaker. Candidates: Jean Croustine, author of Boy with a Knife; Adam Foff.

TRACKS: We had a discussion of the importance of including a track that would deal with racism, white privilege, and micro-aggression.

YOUTH: Two people have generously agreed to serve as chaperones. Also, if a large group were to come from one program, we would expect an adult who knows them to participate as a chaperone. LaSell does not seem to have particular requirements EXCEPT they require “molestation insurance.” Nancy Hutchins is on the agenda at the next Board meeting to discuss the need for having policies in place that protect not only the young people, but also AVP/USA and its officers and committee members. It is unclear who would monitor the paperwork that would be peculiar to youth attendees.

Nancy Hutchins recommended to the local committee that they hold off specifically mentioning youth registration in early publicity until we are sure that we have a viable program in place.
