Revised Zoom Policy (addition in red):

    • All calls are conducted via assigned Zoom links that are available only to AVP-USA Committees, registered State accounts, and USA Facilitator groups sponsored by an AVP-USA Committee. Current Zoom link roster: 6 Standing committees, 3 ad-hoc committees, 2 sub-committees, and 6 states.

    • Requests for AVP-USA Zoom links should be reviewed by the requesting AVP-USA Committee for suitability and call scheduling impact, then sent to the Communications Chair (communications@avpusa.org) for implementation. Requests from State Groups will be reviewed by Communications.

Communications added the above policy change to address the comment from Archer:

    • I'd like to see us accept requests from AVP facilitators who wish to discuss a topic. Possibly those persons could request a line from a committee, but they may not be directly tied to a committee. This is a great service that we provide, and Id like to see us let more AVPers use it.   • Communications response:

      • We could do a trial through AVP-L to see the level of interest. Send out a notice advertising availability and see how much interest there is.

      • If interest is high we would need second Host account and a volunteer to be the host. Probably should not offer to host workshops as they are very calendar consuming.

      • CLARG could be the committee acting as screener/manager for applications for most general facilitator topic Zoom sessions.

      • Additional idea proposed: Expand AVP-L to include a once a [week, month] regularly scheduled Zoom conference on various pre-announced topics. Advertise on AVP-L for someone with interest in organizing/leading/convening these sessions.

Comment from Mital:

Does this include board positions that are not chairs of committees? Like can any Board member review a request for the zoom line under the Board group? (Mital)

    1. Communications Committee recommends that the Board set a separate Board policy for themselves such that any individual Board member be permitted to sponsor Facilitator group links on behalf of the Board without needing prior approval from the whole Board.
