CONFERENCE COMMITTEE NOTES – April 27, 2017

Attending: Archer Bunner (2018 Conf.), Nancy Shippen, Julie Crawford, Chris Campbell, Alice Waco, Rick Krouskop, Nancy Hutchins

2018 Conference. Archer will send the current draft to committee members for comment. This version will be signed by Earlham who is co-sponsoring 2018 Conference with us. Signing needs to be by May 18.

2017 Conference Contract. Chris will follow up on final signing of the 2017 contract now that the insurance is finally settled.

Registration. Rick reported 136 currently registered. Julie said that at least 90 of these were residential. So registration is going well.

Youth registration. They have not registered yet. Archer will ask Martin to stay in touch with them to follow up. Nancy Hutchins has sent an inquiry also. (We have since heard that the youth will be staying in a hotel as they felt they had to pin down where they were staying. Registration forms will be sent in soon. Nancy has assured Stuart that the $1,000 being held for youth can apply to hotel expenses or registration.)

Shuttle Service. The service needs to be booked in 3-hour increments which will have some impact on scheduling of pickups. Sign-up for service is low so far. The suggestion was made to remind people about the shuttle service in the general informational letter that will go out from the registrar.

Pre-Conference Events. The Prison Day is over subscribed. Katherine Smith can accommodate people in her program. Details to be worked out.

Program. The Committee reviewed the various times that people will have a chance to examine the by-laws revisions: at World Café, Sat AM breakout, Sunday AM breakout, Sunday PM breakout. Archer will check on printing costs for the by-laws before determining final format.

Some breakout sessions will be 60 minutes, some 90 minutes.

Plans for programming are almost done.

Fees for public attending Saturday PM will be collected at the door.

We touched on how to handle evaluations, but no decisions were made.

The local committee will stay in touch by email as needed as ask for a meeting if they feel it is necessary. Otherwise, we will meet at the CONFERENCE IN BOSTON!

PS. I intend to lay down the leadership of the Conference Committee at the end of the 2017 Conference. I trust we can find some former conference planners to co-chair the committee. Nancy Hutchins
