OVERVIEW

USG entered into agreement with HathiTrust in 2017

Interested parties may view ‘An Overview for New Partners’ video presented by HathiTrust. You are probably well aware of what HathiTrust is and isn’t. However, the video might be useful for any others in your organization. The video is about 1 hour in length.

When we discuss tasks below there are basically 4 sets of items and 1 service to discuss:

  • Open Access/Public Domain – about 6,000,000 volumes

  • Out of print – lost/brittle/damaged (Institution Specific)

  • Out of print – lost/brittle/damaged (USG consortia)

  • Local Digitized works uploaded to HathiTrust (Institution) – we know the least about this option and would like to push this to a later phase

  • Services for Users Who Have Disabilities: https://www.hathitrust.org/accessibility

HathiTrust access via EDS

All institutions may link to Full Text HathiTrust from EDS. I don’t believe many institutions have this configured. Directions are in the training wiki and GALILEO will be happy to assist. An institution can select:

(Available To Configure NOW) HathiTrust-Open Access: about 6 million volumes will be available

(Available To Configure Fall 2018) HathiTrust-Restricted: An institution may select to view out of print – lost/brittle/damaged works in your library. However, GIL/Institution must work together to identify these. We remain uncertain if this will identify all USG lost/brittle


HathiTrust access via Primo New UI Links

(Available Now) GIL will develop code to pass a record’s OCLC number to the HathiTrust Bib API. Details about the API can be found here: https://www.hathitrust.org/bib_api. A screenshot of how this will likely appear is here: https://raw.githubusercontent.com/UMNLibraries/primo-explore-hathitrust-availability/HEAD/screenshots/screenshot.png. Why June? GIL must develop/apply this code and it matters what Primo User Interface we are using. Since we plan to implement the new Primo UI in late May, GIL does not have the resources to develop twice (once for the classic ui and again for the new ui). We also need to learn further about displaying links for the out of print – lost/brittle/damaged works.

Note: there is an option to load all HathiTrust catalog records into Primo. However GIL suggests we pass this to the GIL Coordinating Committee for further discussion for a consistent consortial approach.

Annual HathiTrust Print Holdings Export

Once a year, GIL exports print holdings information for all USG institutions and sends this to HathiTrust. HathiTrust requires print holdings information from partner institutions in order to:

  • Support analysis of the overlap of institutions' print holdings with digital holdings in HathiTrust. These calculations are used to generate annual member fees.

  • Provide a foundation for the expansion of legal uses of materials in HathiTrust by partner institutions, including special access to materials under Section 108 of U.S. copyright law, and access to in-copyright works for users who have print disabilities.

  • Facilitate collaborative collection development and management operations.

The second bullet point above is particularly important, as it could provide each institution access to some copyrighted materials within HathiTrust. However, each institution may need to do some general catalog maintenance work in order to access these materials. More specifically, those items in your collection that are brittle, damaged, or lost must be marked as so in the catalog record. Please see the next section for information on what needs to be done.

Preparing your Catalog for the Print Holdings Export

There is some work needed in order to get the most out of our HathiTrust membership. The below steps are in descending order of difficulty:

1) Hathitrust counts withdrawn items as holdings. In order for withdrawn item information to be included in the annual export, it is necessary for the HathiTrust partner institution to use the "withdrawn location" procedures documented at this link: https://sites.google.com/view/g3almatraining/cataloging/withdrawns


2) To mark monographs as brittle or damaged, simply go to the item record in Alma and set the Physical Condition to Brittle, Damaged, Deteriorating, or Fragile:


3) And as for marking items as lost or missing, items will be automatically marked as missing after a certain period of time in the overdue state. If for some reason you need to manually mark an item as missing, you can do so from the ellipsis menu on the item list:
