Working in Alma's Network Zone

Roles and Levels in the NZ

All records were migrated from Voyager to Alma at level 30. USG cataloger permission levels can be set locally by an institution’s system administrator in the range of 00-25 for work in their own Institutional Zones (IZ), the USG Network Zone (NZ), and the larger Community Zone (CZ). As long as the necessary Alma roles are assigned, cataloging levels 00 to 25 allow catalogers to

    • Import records into the NZ or their own IZ

    • Edit records at or below their cataloging level in the NZ or IZ

    • View, suppress, add local fields, add holdings,or create PO lines for level 30 NZ records

Cataloger level 30 is reserved for the editing or deletion of NZ records and is approved only at the USG level. Cataloger level 30 ensures that records are appropriately secured, maintaining a high quality of bibliographic data for all.

Brief Records

Brief records originating in Voyager migrated at Cataloger level 30. Brief records created in Alma--such as acquisitions records created for purchasing purposes--are set at Cataloger level 00. All staff with appropriate cataloging roles should be able to add appropriate identifiers to a level 00 brief record (e.g., OCLC number) and import an OCLC record to overlay it.

If your migrated brief records need to be replaced with OCLC records, please submit a support ticket to the GIL Cataloging Committee via LibAnswers (http://galileo.libanswers.com/) or directly through email at gilcat@usg.edu. In your ticket please include the NZ MMS ID (001 field) of your brief record as well as the OCLC number of the record that should replace it.

Impacts of Cataloging Levels

The chosen record in OCLC is the master record in Alma. As the OCLC record is changed in the OCLC environment, it will be updated in Alma's NZ. Replacing the older, brief records may require institutions to relink their holdings to a better record in the NZ or defer maintenance on a NZ record until the necessary edits are completed in OCLC.
