Returning a Job
Once you have completed the work required for an order, it's time to return it. There are four different order return scenarios:
You are returning a Microsoft Word/.doc/.docx file that you have edited or proofread.
You are returning a file in some other format that you have proofread or edited.
You are returning a Microsoft Word/.doc/.docx file that you have created for the client.
The client has sent in a .zip full of files and you need to create and upload a .zip file.
In most cases, you will need to save and return two different copies of the same file. When we edit or proofread .doc, .docx, and .odt files, we provide a copy with all the changes highlighted and comments visible and another "clean" copy with all the changes integrated but comments still visible. This way the client has the option of seeing all of our changes and accepting/rejecting them individually or just taking the clean copy and addressing the comments. Once you have completed the editing, it is time to save the copies that will be returned to the client.
To prepare files "the Scribendi way," download and install the Scribendi Toolbar, which is available for download later in the training. We'll talk more about this later, but for now, in the case of a problem with the Toolbar, here's how to prepare files manually:
Let's say you've been working on a file called Order #142033 - Editing Training Program.docx. The first copy you make would be named like this:
Order #142033 - Editing Training Program_TRACKED_REVISED.docx
Change the suffix to _TRACKED_REVISED.docx. The changes you have made should be highlighted with the track changes feature, and the comments you've made throughout should be visible, too. Please note that comments made in .doc/.docx files should always be done using the Comment tool, so they remain separate from the changes and don't get integrated into the text accidentally.
Now you need to create a "clean" copy for the client. Do this by taking your final _TRACKED_REVISED copy and accepting all the changes made. Leave the comments visible. There are tools on the standard MS Word Review tab to do each of these things in one click. Name the new version like this:

It is a good idea to close both of these new files and then open them again to make sure you have one that has visible changes and another with all changes integrated.
IMPORTANT
Please note that the tracked and clean files should be identical in terms of the changes made. Do not make further changes in the _CLEAN_REVISED copy. If you happen to spot something in the CLEAN copy that needs changing, first make the change in the TRACKED copy and then generate a new CLEAN copy.
Please also note that the Scribendi system is set up in such a way as to prevent the wrong file from being attached to the wrong order accidentally, and therefore it is very careful about the prefix section of your file. Your file MUST have the word "order," the number sign, the correct order number, and the hyphen exactly as follows, right down to the spacing:
Correct: Order #142033 - Editing Training Program_TRACKED_REVISED.docx
Incorrect: Order 142033 - Editing Training Program_TRACKED_REVISED.docx
Incorrect: Order #142033-Editing Training Program_TRACKED_REVISED.docx
For this scenario, you will need to save and return one copy of the file. It should be named like this:
Order #142033 - Editing Training Program_REVISED.wps
The extension of the file should be the same as it was when you received it. So for example, if you received a .wps file, you should return it in .wps format. If you received a .pdf file, you should return a .pdf file.
If you have created a file for a client (e.g., you've written a query letter), you will need to name the file in such a way that the EditorWorks™ system recognizes that the file you have created is in fact associated with the order you've completed. For example, if you have created an article or a query letter, the information that looks like this:

would become this:
Order #142033 - Editing Training Program.docx
Again, we'll note that the system is VERY literal and requires that the spacing between the word Order and the # sign, as well as the spacing between the number, the hyphen, and the beginning of the filename, are done precisely as shown above. For example, the following would generate an error message ("This file does not appear to be associated with this order"), because the spaces are missing around the hyphen:

Note: Be sure that you have saved the final version of the file you've edited before you upload so that ALL of your changes are in the final copy.
Only when the client has uploaded a .zip file containing numerous files is it acceptable to return a .zip file. Please follow the directions in Scenarios 1–3 for the individual files in the .zip file, and then create a .zip file, taking care the .zip is named using our system's naming convention.
