BOSPrint upgrades are released approximately every quarter and are named accordingly based on the year of release. Business Agents are notified of upgrades, and are encouraged to implement these upgrades for sustained improved performance and functionality of the application.
Continue to watch this space for upgrade notes.
For assistance with performing an upgrade please contact your Business Agent, or the QuickEasy Helpdesk.
Before you Upgrade
Additional Upgrade topics are available in BOS Internal Docs:
Before upgrading it is important to check what the enhancements and fixes are in order to determine whether additional Setups and User training will be required after the upgrade.
Contact Helpdesk to schedule an appointment for a consultant to demonstrate the new version onsite or remotely using Teamviewer.
If, after the demonstration, you feel that upgrading will benefit your business, your consultant will prepare a quotation and schedule the upgrade.
A few days before the scheduled upgrade, our Helpdesk will obtain a copy of your database and run a test upgrade on it.
The upgraded copy of the database will be installed at your company for training Users to ensure they are familiar with the new functionality before upgrading the live database. Every user should test the functionality they use on the new version, paying attention to new Template layouts, upgraded Reports, etc.
When all the Users are comfortable with the new version, your consultant will upgrade the live database.
Before executing any upgrading scripts on your Database, first make sure you know what version of BOSPrint is currently active in your live Database.
Open QuickEasy BOSPrint and navigate to Main Menu > Help > About QuickEasy Software. An Information window will appear stating your current version as well as a history of scripts executed on the Database.
Always test the upgrade on a copy of the live DB before commencing the live upgrade.
This topic guides you through the process of creating a copy of the current Database, running the upgraded version and original version simultaneously as well as what to look out for when testing.
Follow the steps below to set up a side-by-side Database comparison:
Get all the Users to log out and delete the QuickEasy.exe to make sure nobody can login while you are upgrading or running tests.
Open QuickEasy Tools, right-click on your live Database and select Connect.
Right-click on your connected live Database and navigate to Database Tools > Backup & Restore.
This will create a Backup (.fbk) file of your current Live Database as well as create a Copy of your live Database (.FDB). The original Database will automatically be renamed by adding Old_Date to your Database name.
The Backup and Database file will be created in the same Directory folder as the live Database (Data folder), you are able to move (cut & paste) the Backup (.fbk) file to the DataBackup Directory folder to keep your Directory organised (personal preference). You can rename the Database Backup file for ease of identification.
The Database displayed in Tools is created from the Backup (.fbk) file that was created during the Backup & Restore process. Therefore, the registered Database listed in Tools is the Copy.
Execute the desired upgrade scripts on the Database in Tools.
See more about executing upgrade scripts below (How To Upgrade).
Once you are finished with the Upgrade (executing Fixes and Scripts), continue with the steps below.
Rename the old Executable (.exe) to prevent it from being replaced.
Download and extract the new Executable (.exe).
Now you are able to run the upgraded BOSPrint with the new Executable (.exe).
If you are satisfied with the upgraded version of BOSPrint you can simply continue conducting business with it, however if you wish to compare the upgraded version with the old (highly recommended), you'll need to register the old Database in order to open two (different version) applications at the same time.
Now you need to register the Old Database in order to login and compare with the New Database.
Right-click on the Server and select Register Database.
The Register Database window will appear, click Browse.
Select the original Database that has been renamed by the Backup & Restore process and click Open.
The name fields will automatically populate, click Register.
You'll see the original (Old) and upgraded Database listed in Tools.
Now you need to create a path between your Executable (.exe) and Database (.FDB) for the newly registered Database (original Database).
Open your QEDB file located in the QuickEasy BOSPrint Directory.
Copy the text of the current Database, rename the Database Name (description between brackets) and replace the Database path-name with the description of the old original Database.
Save and close the QEDB file.
Now you can open two different Databases when running BOSPrint.
Run the New Executable, selecting the upgraded Database and the Old Executable, selecting the old Database.
This will open the application twice with different Databases allowing you to compare the upgrade with the original without risking any loss of data or corruption.
Now you are able to perform tests and decide if you wish to implement the new version or return to the old Version. See subtopics below.
Run the old and upgraded versions next to each other and compare the following.
Ledger - Remove all the filters to view all the transactions and compare the Total, Allocated and Unallocated fields.
Customer Age Analysis - Compare at current date as well as at a prior date.
Supplier Age Analysis - Compare at current date as well as at a prior date.
Trial Balance - Compare at current date as well as at a prior date in the previous financial year. Compare a full year as well as a few months in the year.
Income Statement - Compare current period as well as a prior period.
Balance Sheet - Compare current date as well as a prior date.
Compare total Stock levels at current date for all Categories in the BOSPrint: Materials module.
Open all the core non-Accounting Transaction Types (Quote, Sales Order, Work Order, Purchase Order).
Remove the data filters to view all the Transactions and compare the Transaction count and totals.
Establish which Reports are in use and compare the old and upgraded Report values.
If any discrepancies are found, investigate the cause of the problem so a solution can be found BEFORE implementing the upgrade to the live database.
Make sure that each User tests the functionality they use in the application and let them sign off on it.
Follow these steps if you wish to Implement the new upgraded version of BOSPrint:
Simply Unregister the old Database in Tools.
In Tools, Right-click on the old Database and select Unregister Database.
Open your QEDB file again and delete the path of the old Database you Unregistered.
Now you can continue conducting business with the newly upgraded version of BOSPrint.
Tip
Create a Backup (.fbk) of your newly upgraded Database. In Tools, right-click on your newly upgraded Database and select Database Tools > Backup.
Follow these steps if you wish to stay with the old/original version of BOSPrint:
Unregister the old Database (you used for comparing) in Tools, Right-click on the old Database and select Unregister Database.
Right-click on the upgraded Database and select Restore.
A Restore window will appear, click Browse.
Select the backup (.fbk) file that has been created with the previous Backup & Restore process and click Open.
Check the Replace existing database check-box and click Restore.
By checking the Replace existing database check-box the current Database (upgraded version) will be replaced by the old/original Database, i.e., the Database you selected to restore will be lost.
Once the Restore process is completed, close the window and disconnect the Database.
Open your QEDB file again and delete the path of the old Database you Unregistered.
Now you can continue conducting business with the original version of BOSPrint, using the old/original Executable (.exe).
This topic guides you through the steps you'll be taking to perform a Same Version Upgrade as well as a New Version Upgrade.
Make sure to work through the topics above before continuing with this topic.
Make sure to know your current version of BOSPrint.
This type of upgrade adds minor functionality upgrades and fixes to your current version.
Follow the steps below to perform a Same Version Upgrade:
Close the application and delete the current Executable (.exe).
Open Tools, right-click on the Database you wish to upgrade and select Connect.
Right-click on the connected Database and select Execute SQL Statements.
An Execute SQL Statements window will appear. Click on the hamburger-menu (menu icon top-right) and select the version that corresponds with your Database.
Fixes and Script (.sql) will be listed for the selected version.
For same version upgrades you'll only need to execute the Fixes script that corresponds with your version of BOSPrint.
Double-click on the desired Fixes script.
Once you've double-clicked on the Fixes .sql the script will appear in the SQL Statements window.
Click on the Play icon to execute the selected script.
Once the script execution is completed, close the window and disconnect the Database.
Now you'll need a new Executable (.exe) to run the upgraded application.
In Tools, navigate to Utilities > QuickEasy Downloads.
A list of downloadable files will appear.
Select the Executable that corresponds with your upgraded Database and click Download.
Once downloaded, extract the Executable in your Directory and create a shortcut. It is important that the Executable file is in the same folder as your QEDB file.
No your same version upgrade is complete. Restart the application with the new Executable.
This type of upgrade, upgrades the current version to the next, applying major changes. E.g., BOSPrint 2018.03 to BOSPrint 2019.01.
Upgrading to the next version is performed similar to the steps taken with a Same Version Upgrade.
Except instead of executing a Fixes .sql only, you'll execute the Fix of the current version, disconnect and reconnect the Database. Then execute the Scripts of the next version.
The following is important when performing a new version upgrade:
All Users must be logged out.
Make sure to Test the upgrade before implementing (See Test Upgrade Before Implementing topic above).
It is recommended to contact QuickEasy Helpdesk when performing upgrades.
