You can use the Work Orders module to create and manage production orders. These may be created from a Quotation, a Sales Order, or from a Material item.

The output of the Work Order represents the product(s) that are being manufactured, including usable by-products.

In the case of a Service Work Order, the output items could be the Material Items on which the Service is performed.

The Work Order module elegantly handles the following production scenarios, in each case providing accurate work tickets and cost summaries:

• Manufacturing a product differently to the way it was estimated: This can be done without changing the quoted price on the Sales Order; the Work Order will, however, reflect the change in the cost of the job. This scenario also applies to spreading a large job to run simultaneously on different machines.
• Grouping different jobs on one Work Order: One can save on production costs by running different jobs together. The Work Order module can output multiple items from different Sales Orders.
• Spreading large orders onto multiple Work Orders: Large orders can generally be delivered over a period of time and are seldom manufactured in one batch. QuickEasy provides functionality to create multiple Work Orders against a single Sales Order, so that the materials and production time required for each batch is accurately reflected on the work ticket.
• Using Finished Goods Stock: When manufacturing standard products, it makes sense to use the Inventory module to manage production. Sales Orders are used to satisfy customer orders from Inventory, and Work Orders are in turn used to replenish the Inventory when minimum levels are reached.

The Menu button provides Sync Job Summary functionality. When Synchronise Job Summary is enabled, the Job Summary side-panel will show the current Work Order as you scroll through Work Orders.

1. Output

The Output tab shows the details of the Work Order and all the linked Sales Orders and Materials to deliver.

1. Detail - This shows the Customer, Contact, Sales Representative, Reference, Category, Controller, Sales Order number, Estimate number and Quantity details of the Work Order.
   • These fields populate automatically when copying a Sales Order to a Work Order, as well as when you copy an Estimate to a Work Order the relating information is automatically copied from the Quote containing the Estimate.

If multiple Sales Orders are copied to one Work Order, these fields will only be populated if they are empty. This improves speed when creating a Work Order from a Sales Order and, when running SO/WO combined, creating a Sales Order from a Quote.

1. Info - This Info button will open the Customer Summary side panel.
2. Select - This button allows you to select another Delivery Address.
3. Output - All the Sales Orders and Materials linked to the Work Order will be listed in the Output data grid.
   • When a Work Order is created from a Sales Order, the Customer name is no longer concatenated into the Description. An additional field is available in the Field Chooser for the Output grid (hidden by default), to show the Customer on the linked Sales Order - this will only be necessary if you are grouping jobs from different Sales Orders on to one Work Order.
4. Add - This allows you to add a Sales Order or Material to the Work Order.
5. Menu - The Menu button provides the following additional functionality:
   • Update Work Order from a Estimate - This allows you to apply updates that have taken place at a Estimate level to the Work Order. The Work Order header is only updated when the Work Order is not linked to a Sales Order.
   • Set Output Cost Ratio by Quantity - This allows you to manually set the ratio by the output quantity. This also happens by default when the Work Order is saved.
   • Open Workflow - If this is linked to a Workflow, selecting this opens the Workflow in the side panel.
   • Open linked Estimate - This opens the linked Estimate.
   • Open linked Sales Order - This opens the linked Sales Order.
   • View Job Summary - This opens the Job Summary in the side panel.
   • View Audits - You can view the Audits of all Status changes made to this Work Order in a side panel view.
   • View Customer Summary - This will open the Customer Summary side-panel.
   • View Linked Transactions - This allows you to view transactions that are linked to this Work Order in a pop-up window.
   • Edit Location lookup list - This allows you to change the drop-down list of the order locations (found next to the Status field).

2. Specification

The Specification tab shows the linked Estimate's Specifications.

1. Specification - Estimate Items are added from the linked Estimate, and the Materials and Services linked to the Estimate are listed by Description, Size, Pre-Press, Printing & Paper, Finishing and Despatch.
2. Edit - The Edit button will open an Editor window that provides additional functionality to edit the Specification note field.

3. Materials

The Materials tab shows all the Materials required to complete the job.

1. Material Category - This filters the Materials displayed in the Materials drop-down list (3) by Material Category.
2. Search - Enter a description here and the Materials drop-down list (3) will show relating Materials.
3. Materials - Select the desired Material from the drop-down list.
4. Qty Option - This specifies how the quantity will be calculated.
   • Fixed - This will apply a fixed quantity.
   • Est X - This will multiply the Material quantity (5) with the Estimate quantity.
   • Est / - This will divide the Material quantity (5) with the Estimate quantity.
5. Qty - Specify the quantity of Materials you wish to add here.
6. Add - This will add the Material Items to the Work Order.
7. Add Custom - This allows you to add a Custom Material Item.
8. Data Grid - The Materials data grid lists the Materials required for the job, grouped and linked to components where applicable. They are also linked to an Estimate item.

4. Services

The Services tab shows all the Services required to complete the job.

1. Services - The Services data grid lists the Services required for the job; both internal and outsourced. The Services are ordered and can also be grouped and linked to components. They are also linked to an Estimate Item.
2. Add - This allows you to additional Services to the Work Order.
3. The following additional functionality becomes available when you right-click on an Item in the data grid:
   • Move Up / Move Down - This allows you to change the order of the Items within the data grid.

Work Order from Material

Main Menu > Production > Work Order > New Work Order from Material

You are able to create a new Work Order from a Material.

To create a new Work Order from Material click on the New button and select New Work Order from Material. See image below:

Once you've clicked on New Work Order from Material, a Find Material Window will appear. See image below:

The Find Material window will list all the Materials within the database, allowing you to search and select a specific Material Item.

Find the Material you wish to create the Work Order from and click Select. Once you've selected the desired Material Item, a Select Option window will appear, allowing you to specify the quantity. See image below:

Enter the desired quantity and click Add. Once you've clicked Add, an Update Work Order from an Estimate window will appear, allowing you to update the Work Order from a linked Estimate (image below).

• If only only one Estimate is linked to the Material, the Work Order will automatically be updated.

• Type Filter - You are able to select the following Types from the drop down list:
  • All - This will show all the Estimates within the current database.
  • Linked to Output - This will show all the Estimates linked to Output within the current database.

Search and select the linked Estimate and click Select. Now the new Work Order created from a Material will open (image below).

• If the Work Order Qty differs from the Output Qty, you'll be prompted to Update the Output Qty to the Work Order Qty.
