In a busy environment with a steady stream of Customers requesting prices, it's not practical to create a Quotation for each person that walks up to your counter.
BOSPrint provides functionality where you can create a Fixed Price List for a product. With all the complex Pre-Press, Printing, Finishing and Materials Costs and Pricing already calculated for multiple quantities.
So when a Customer walks in, you can easily present them with a Price List.

How to take a Deposit
Follow these steps to create a Fixed Price List:
Create the Material Category for the Product Type. Navigate to Main Menu > Setup > Settings & Defaults > Lists & Categories > Material Categories > Add. Once you've clicked Add, the Material Category Setup window will appear.
Enter a Description.
Set the Material Category Type to Quotes (Unit = Qty).
Navigate to the Units tab and enter multiple Quantities. See example below:
5. Click Save and Close the window. You'll see the newly created Material Category listed in the data grid. See image below:
6. Create an Estimate for the Product, and complete all the steps, except Despatch (this is an unknown). Add the same Quantities you entered in the Material Category setup to the Estimate. The Estimate will show the variations in price according to the quantities specified. See example below:
7. Click the Menu button and navigate to Copy to Material > Select the Material Category. See image below:
8. A confirmation prompt will appear, click Yes. See image below:
9. Once you've clicked Yes, the Edit Material Module will open. The Description and Specification fields will automatically be populated from the data entered in the Estimate.
In the Units & Prices tab, the prices for each Quantity will be calculated from the Estimate. However, you have options to set pricing based on MU% or GP % and you are also able to round prices to VAT inc or VAT exc. See image below:
Now these Items can easily be added to a Quotation, which will also include the specification and even an image if you upload one.
If anything changes on the Estimate, you are able to update the Material Prices from the linked Estimate within the Quotations tab. You'll see the Estimate you've created is now linked to this Material Item and will be listed in the data grid.
Right click on the row and select Update Material from Quotation. You have the option to only update the Cost Price if you don't want to update Selling Price as well. See image below:
Now you can simply export the Price List from the Materials Price Manager. See example below:
You are also able to use a Report to generate a Price List from your Finished Goods Material Item. Contact QuickEasy Helpdesk for Reporting assistance.
Once the Customer has made their choice, you can take a Deposit payment immediately.
To do this create a Quotation for the Customer, add the Product as a Material Item and from there copy to Customer Invoice.
In the Customer Invoice interface you are able to take part payments as follows:
Click the View Receipts button. See image below:
2. Enter the Deposit percentage or amount and click Receive. See image below:
Once you've clicked Receive, the Receipts data grid will populate with a row showing the deposit amount that has been automatically allocated to the Invoice. The outstanding balance is shown below.
To process the order, return to the Quotation and continue through the BOSPrint workflow.
