In Workday, you can transfer student’s credits from another institution onto their [university] academic record.
You can also route a student’s request for a transfer credit approval to their respective school dean for approval (e.g., a student is taking a summer class at another school and would like [university] credit for it).
Considerations
Internal articulation will be used to double count courses for programs of study that span multiple records. For example, a course taken as an undergraduate for a B.S. degree may also count for a graduate program, upon internal articulation.
Assign Student Transfer Credit
In Workday, search for and select the Assign Student Transfer Credit task.
Enter the student’s name who has transfer credit.
Select Create Official External Transcript.
Click OK.
Search for and select the educational institution where the student took the course.
Choose the Academic Unit.
Enter the Issued Date.
In the Type menu and select Final.
Navigate to the Credentials table and select the Course History tab.
Click the + Add to add a row for the student’s external course. You can create multiple rows and enter several of the transferable courses in the Course History table.
Enter the Course Date.
Search for and select the Course ID from Course Catalog. If you can’t find the course, you can create one with the Create Educational Institution Course option if your school registrar’s office approves that process.
Enter the number of Course Credit Hours Earned.
For the Grading Scheme, select [specific grading scheme value].
Enter the Grade.
If the student is transferring more than one course, select +Add for another row and enter the next course.
Click OK.
In the next window, you’ll match the student’s transfer class with a [university] course.
In the Transfer Credit table, search for and select the [university] course.
Choose your school’s grading scheme and enter the student’s course grade.
Click OK.
Click Done.
You can double-check if the transfer credit appears by searching for the student (e.g, student: [student full name]).
Select the student and navigate to Academics.
Select the Transfer Credit tab and you can see the student’s newly processed transfer credits.
Approve Transfer Credit Requests
From the Workday Landing page, select the Transfer Credit Approval Request My Task Inbox item.
Review the request details and select a Resolution:
Denied.
Done.
Duplicate.
If approving, select Approved as the Resolution Details, otherwise, leave it blank.
Click Submit.
Click To Do.
Click Add Student Note.
Enter the Student Name.
Enter the Note Topic.
Note Date will autofill with the date and time the note was initiated. Adjust as applicable.
Enter the note context in the Note field.
In the Share with Student dropdown, select Yes if the student should be able to view the note on their profile and No if you would not like the note to be visible to the student on their student profile.
Click OK.
Click Submit.
