Overview
Unlike native Salesforce reporting, Apsona's Multi-Step Reporting allows you to query any number objects. For example, you could generate a report on contacts with a certain GMAT score, have never applied for a master's program and have completed their undergraduate degree with the David Eccles School of Business. Or maybe you want to see donors who have given any time in the last 5 years but not in the past year. Multi-Step Reporting can handle nearly every reporting need. Please read the documentation on the Apsona website for a great foundation of Multi-Step Reporting.
If you are unable to create the report you need, or get an error while working in Apsona, please contact your program liaison.
Graduates with GMAT Score
Let's say we want to pull a report of all contacts who have graduated with an undergraduate degree from the David Eccles School of Business since 2005 and have submitted a GMAT score to one of the programs at the school. Let's use the education object and standardized test object.
1. Navigate to the Apsona tab. If you can't find the tab, try this or contact your program liaison.
2. Select Reports list from the Multi-step reports tab within Apsona.
3. Click New
4. Give your report a unique name and decide which folder you'd like to store your report in.
5. Now Add step
6. Since there is a lookup field to the contact on each education record, we don't need to start with the contact object. We can start with the education object and query data from the contact record in the same step. Give this step a name and choose the database object.
7. Select the fields you want to display on the report. Always start with the field that will link to the next step (object). Since the Standardized Test object also has a contact lookup, we will pull in the contact field.
8. Select the following fields from the education object: Degree Year, Degree, Degree Earned/Expected and Official Record (since those marked as official come from People Soft and you know that this data will be accurate).
9. Let's filter for students who have undergraduate degrees since 2005.
10. Now, let's click on Save & Run just to be sure everything looks good. Your results may look different that the screen capture here. You should still see that the filters are working correctly.
11. Go ahead and add the next step for standardized tests.
12. First add the contact so that we can link to the previous step. Next, add the Record type, Test Date (choose date value) and Total Score.
13. Let's filter for GMAT scores.
14. Now we can link the second step to the first step so that the results of both objects will display on the same row for the same contact. Select Graduates Contact matches Contact.
15. Now click Save & Run. You will see that the report has been divided into two sections - Graduates and GMAT Score. These are the step names you previously entered. Notice that for some contacts in the first column, there are blank cells below their Salesforce ID. This means that the contact has more than one GMAT record in the system.
16. Now you can click on Export and filter your results as you see fit.
