What are opportunities and what data do they have?
Opportunities in Salesforce allow you to track a prospective student/applicant from first contact to enrollment. Please see the following table for information regarding the fields on the opportunity layout:
How are opportunities created automatically?
The Apply Yourself and GMAT imports will automatically create an opportunity for the program and recruit year if one does not currently exist.
How are opportunities created manually?
When a new or existing contact does not have an opportunity for the recruit year but has expressed interest in a program, a user can create an opportunity. The following stages can be used:
Interest- anyone who has not reached out to the programs, e.g. grad fair attendees, name buys, referrals, etc
Prospect- anyone who actively seeks out programs, e.g. RFI, attends an information session, calls with questions about the program, etc
1st Outreach - first outreach the admission coordinator makes
2nd Outreach - second outreach the admission coordinator makes
Use should manually change the stage to the three listed above as needed.
How are the other stages used?
The following stages are also represented on the application and will be automatically updated in the opportunity when the application is updated.
When all of the following fields are populated, the opportunity stage will change to Enrolled and the opportunity is considered 'won':
Enrollment Decision Date
Enrollment Decision
Seat Fee Received
The Closed Lost stage in the opportunity can be used to signify that the applicant did not submit their application, the program staff has been unable to reach the applicant, the applicant withdrew their application, etc.
