8. Action Items:

A. Personnel Action

10. Information Items:

A. Fees and Charges for School Year 2013-2014

A fee schedule associated with the 2013-2014 school year will be presented to the Board for adoption. The traditional fee schedule has been carefully scrutinized by the Leadership Team and changes have been made. The analysis will continue throughout the 2013-2014 school year, with emphasis placed upon eliminating as many fees as possible through the 2014-2013 school budget planning process. Fees are covered under Policies JN and JN-R. (See Superintendent's Memo 103-13)

B. Revised Third Quarter Projections

The April monthly reports showed a projected $674,453 surplus of revenue over expenses in the School Operating Fund. Staff, however, have been or are making end of the year purchasing commitments that do not follow the spending pattern of the rest of the year. Therefore, we anticipate an additional $143,391 expenditures or encumbrances by June 30, 2013 that will bring the projected turn-back down to $531,062. The attached worksheet outlines these additional expenses. This information will be presented at the Board of Supervisors meeting on June 4th during their third quarter projection discussion (see the updated monthly report attached).

C. Risk Assessment Procedures

The GCPS administration and school counselors have been working over the past six months to revise procedures for assessing students' risk of harm to self. The attached checklist and documents will be the process that school counselors will follow beginning in the Fall of 2013. The risk assessment procedures contained in these documents indicate the best practices according to our administrators and counselors in responding to specific student mental health concerns and meet the requirements for the school division's systemic approach to intervening when students indicate a risk of harm to self.

D. Farm to School

The GCPS Food Service Department will share information on the "Farm to School" program. The GCPS Food Service Program has been recognized in the past for their partnerships with local farmers to provide fresh fruits and vegetables to students on a daily basis.

E. Classified Salary Scale Updates

After reviewing the salary scales adopted on May 14, 2013, the GCPS HR and Finance Department are requesting a revision to the classified salary scale to add a Bachelor's Degree supplement of $600. The supplement has been available to employees on the Classified Scale in the past. Additionally, the GCPS HR and Finance Department estimates that the overall budget impact for any current or new employee that would now qualify to receive the supplement will be less than $5,000.

F. Career and Technical Education New Program Information (Courses)

At the Board of Supervisors' meeting on June 4, the Superintendent will give the quarterly update on "School Matters." The Superintendent plans to share information about the School Year 2013-2014 expansion of the CTE programming at GHS. Additionally, we added a document linked as "Courses" above that also shares how the school plans to locate each of the programs next year. The Facilities Committee is in the process of reviewing options for creating new spaces for CTE and any further expansions to the CTE program will likely require additional space.

G. Strategic Compensation Grant RFP

The Virginia Department of Education recently released the Request for Proposal (RFP) for the Strategic Compensation Grant. The purpose of this informational item is to notify the board that the GCPS Grant-Writing Committee has begun work to draft a proposal.
