Redsheet

A REDSHEET is a document that gives us an overview of the rights associated with a video, as well as the more detailed, line-by-line rights associated with every person, location, piece of archival, on-screen material, and music track appearing/used in a video

REDSHEETS are extremely important - they are what allows the company to quickly assess & complete video licensing and distribution deals. When redsheets are missing, incorrect, or incomplete, the company can miss out on these potentially lucrative deals.

HOW DO I FILL OUT A REDSHEET?

Once a video has passed through R&C QC and is locked/approved to air - a redsheet should be created matching the FINAL, LOCKED CUT OF THE VIDEO.

1. TOP SECTION: Video Data
   • Producer or AP fills in Show Title, Episode or Video Name, air date & producer/AP/editor names

2. SECOND SECTION: Personal / Locations

• AP or Producer reviews the final video & notes the FIRST appearance of each individual & location
  • Should be filled in in order of appearance (by time-code)
  • Provide a description - write PERSONAL or LOCATION + a good description of the person/location
  • If a subject is a MINOR - note so in their description

• TERMS: These are pulled directly from the releases - should be ALL MEDIA, WORLDWIDE, IN PERPETUITY if no one edited the release
  • Any exceptions to those terms should be noted!!

• CONTACT DETAILS: Also pulled from releases - if no contact details were provided, leave blank

• LEGAL APPROVALS: If Legal has approved the appearance of a person or location without a release…
  • Note the person/location by time-code of first appearance & provide a description as usual
  • TERMS = Approved by Legal
  • CONTACT = Name + Email of Lawyer who approved
  • Be sure to include the written or emailed approval in your release binder!

3. THIRD SECTION: Music Releases

• If you only used Jingle Punks & Audio Network - check the box next to “All Jingle Punks & Audio Network”. No need to list!

• If you only used licensed music, do not check the box - fill in the Artist, song title & terms from the license agreements
• Contact info should be the source who licensed the track to us + the name/email of the person from VICE who licensed the track

• If you used both licensed & library music - list the licensed music & also note the library tracks (but you do not have to list all)

4. BOTTOM SECTION: Archive Releases

• If you did NOT use archival - just write “NO ARCHIVAL USED”

• If you DID use archival….
  • The editor on your project is responsible for filling in the following sections based on the project file for the FINAL EDIT of the video:
    • Timecode In
    • Timecode Out
    • File Name
  • Should be listed in order of appearance & listed EACH time the archival appears (even if it's repeated!)
  • The Producer or AP fills in the following sections based on the Licenses and/or Releases obtained:
    • Source Name
    • Description (please note if the archival is FTG (footage), a STILL, a GRAPHIC & of what?)
    • Terms
    • Contact Details
