Why do I have to care about R&C?
Why do I have to care about R&C?
Right & Clearances (or R&C) is a department within VICE with many roles in video production & publication.
R&C = a policy, set of documents and REQUIRED procedure.
R&C provides the initial determination of whether a video is legally clear to publish.
R&C also concerns what VICE can & cannot do with content (videos, articles, etc) after it is published - this means licensing videos or footage to other people / companies, distributing content internationally, and more
Two reasons:
- R&C helps the company not get sued, look bad, or have future use of content threatened. Copyright infringement & privacy-related claims are EXPENSIVE and happen more often than you think. When claims come up because of a legal violation, our videos may need to be taken down as a result - R&C helps prevent this from happening. It also looks bad for the company if we don’t follow the rules.
- R&C manages approvals on all licensing and distribution - and we cannot license or distribute a video if it is not legally clear. Producing videos costs money. In order to make some of that money back, we have distribution deals and licensing. The paperwork you submit for your videos is VERY important to distribution & licensing - it is so important that there is basically no point in shooting a video if the paperwork that allows us to sell & distribute that video is not obtained and submitted properly.

A “clear” video is one that has been approved by R&C to publish. It means that:
- All people & locations have signed releases on file
- All music & archival has been properly licensed or approved by the correct owner for use
- Anything that might Legally get us into trouble has been flagged & approved in writing by our Legal counsel
- All REQUIRED PAPERWORK has been fully completed & submitted on VL2

U.S. Procedure
- If your piece is more than 20 minutes long, or you know it might have potentially complicated material to clear, send a cut to R&C EARLY (at the rough or fine cut stage) so they have enough time to review it!
- For most other pieces, send the Fine Cut to the R&C department no later than 48 BUSINESS HOURS PRIOR TO THE AIR DATE
- If you have a tight edit schedule, please provide the date by which you need notes & account for 48 business hours turn-around time for R&C/Legal
- Watch-down request emails should include:
- Subject line: R&C Watch-Down Request | [VERTICAL] + [VIDEO TITLE]
- Body of email:
- TITLE OF VIDEO
- PUBLICATION or AIR DATE
- PLATFORMS THE VIDEO WILL BE PUBLISHED ON
- IS THE VIDEO EDITORIAL, OR PARTNERED/COMMERCIAL?
- If PARTNERED/COMMERCIAL - provide the name of the partner/client (example: Samsung)
- LINK TO ROUGH CUT OF VIDEO
- LINK TO VL2 RECORD FOR VIDEO
- LINK TO PRODUCTION BIBLE FOR VIDEO
- Watch-down request emails should include:
- R&C has their own tab in the Production Bible - once you share your bible with them, they will make review notes directly in the doc
- If something needs to go to our Legal team --> R&C will make note of it in the production bible
- Production must consolidate all Legal Approval notes needed into the BODY of the email (**do not link to production bibles in Legal approval emails**) & send following the guidelines below:

- Production must consolidate all Legal Approval notes needed into the BODY of the email (**do not link to production bibles in Legal approval emails**) & send following the guidelines below:
- If something needs to go to our Legal team --> R&C will make note of it in the production bible
- Archival --> needs 7 business days from picture lock to clear footage; Heather Hoang & Sergio Noriega should be CC'd on all cuts that go out for review by Archival
- Please be sure to communicate any red flags in terms of budget/schedule, and a reminder of your timeline when you send a cut
- Let us know when you need notes by in order to stay on schedule
