IMPORTANT :
Make sure to cross-check, internalize, and understand the services being requested to ensure we do not mistakenly accept/decline them
As much as we can, we shouldn’t be declining any work order since we are sourcing out for 3rd party vendors, if you see something you are unsure of, reach out to your PM Lead for confirmation if needed.
Any new WO that comes in through PM portals or by Email needs to be entered on admin regardless if we are accepting or denying the WO.
STEP 1: In the Admin Dashboard, navigate to the Work Order List. Click the (+) icon located at the bottom-right corner of the page, then select "Create Work Order" to begin
STEP 2: A pop-up window will appear—complete it with the details from the work order you received.
HOW TO FILL OUT THE POP-UP FORM:
PM Company Info:
PM Work Order ID - Work order # from PM
PM Company - Input which PM was the WO from
Assignee - Input the name of the Account Manager you are assigning the Work Order to if not automatically done by Admin
Tenant Info:
** If confirmed that the WO is for a vacant property, mark the check box and admin will auto-fill the name and phone #
Tenant First Name
Tenant Last Name
Tenant Phone #
Tenant Email
Tenant Address
The "Market" field is typically auto-filled if the address is within a serviced area. If not, a dropdown menu will appear, allowing you to select the nearest applicable market.
Work Order Info:
Verticals - select the appropriate category or categories from the dropdown that align with the service requests specified in the work order.
Issue Description - enter the specific issues listed in the work order that require servicing. Be sure to include all relevant details to ensure the service is accurately addressed.
Is Emergency?:
Only place a check mark on this if the WO received from the PM is tagged as emergency or urgent.
STEP 3: After completing all the fields, scroll down to find a few buttons you can choose from:
Cancel - Click to cancel creating a work order
Create Work Order - Click it to submit your entry to the admin
Continue to Quote Creation - This is a shortcut button which would allow you to immediately create and generate a quote for the WO
STEP 4. After creating the WO on admin, an automated notification of the WO will be sent to the property management channel on slack. Tag the person you have assigned to the work order so she/he gets notified about it.
