Benefits of Research Data Management
“Research data” refers to information collected or generated during the research process or as a research outcome. “The Policy of the University of Tokyo on Research Data Management and Utilization” describes research data as follows:
Research data includes all forms of data, whether digital or non-digital, including numerical data, images, text, and tangible objects.
Research data also includes documents that explain the research data, metadata, and the conditions under which the research data was collected.
If the research result is a tangible object, the metadata that explains it is subject to management as research data with tangible objects.
Secondary data, which is processed and interpreted from primary research data, results of statistical analysis, and related mathematical models are also treated as research data. In such cases, metadata to ensure the reliability of the primary research data is also required.
Research data in the policy does not include research publications, for example articles and proceedings.
Research data management (RDM) refers to “how you organise, structure, store, and care for the information generated or used during a research project.”*

Proper management of research data offers the following benefits:
Improving the efficiency of research activities
Enabling mutual understanding of data and facilitating collaboration
Ensuring smooth handover when members of a research group change
Preserving data in a complete state over the long term
Ensuring the reproducibility and transparency of research
Preventing the loss, disappearance, or unintended disclosure of data
Open science is a concept that includes open access and the openness of research data. By making research activities as a whole accessible to a wide range of people, it enables collaboration across institutions, disciplines, and national borders, fosters innovation, and promotes the use and reuse of research data by the next generation of researchers.
At the University of Tokyo, “The Policy of the University of Tokyo on Research Data Management and Utilization” has been established to promote the proper management, preservation, and use of research data. In recent years, an increasing number of funding agencies have required the preparation of data management plans. In addition, when submitting articles to journals, academic societies and publishers may require the public release of research data based on their own data policies.
From the perspective of research integrity, the retention of research data for a certain period (generally ten years) is required. Proper management of research data ensures compliance with these retention requirements.
