Create a job and assign a student to the job

1) Create a job by completing the on-line form "Add an on-campus student employment job" 

2) After you’ve interviewed candidates and selected your worker

a) if they are not already employed by the College: log on to Workday and create a request in to hire the student. Click here to see the step by step job aid for the process.

b) if they are already employed by the College: log onto Workday and Add a Job for the student. Click here to see the step by step job aid for the process.

Supervisors log on to Workday each week (and will receive an e-mail prompt to do so) to approve the student time cards which prompts payment by the Payroll Department.

PLEASE NOTE:    As of commencement, a graduating student is no longer employable on Work Study or Assistantships. 

International students working on/off campus
Like any new employee, international students who have not previously worked at RISD need to complete federal paperwork with the Student Employment Office (20 Washington Place 1st floor, West Wing)  PRIOR to starting work. They must make an appointment do so using the Qless button on the MyRISD app (downloadable from the Apple or Play app stores). If they do not hold a US issued Social Security Number international students must apply for the number before completing the federal paperwork PRIOR to starting the work. The application process is complicated (they need a job offer letter and a supporting letter from RISD’s Office of International Student Services and cannot apply more than one month prior to the first date of their offered job.) It is wise to not expect that an international student on their first RISD job can assume duties immediately due to this many step process.

For work study jobs: the department produces the job letter for the Social Security Number application: It must include start date, number of weekly hours, type of work, and supervisor’s name, phone number and email address. A sample letter is posted on the Student Employment page of info.risd.edu

For graduate assistantships: Academic Affairs produces the hire letter and uploads it to a drive shared with OISS.

Hiring international students from another institution requires additional compliance steps: contact Kate Sacco at RISD’s OISS as soon as possible for direction.

NOTE:  International students may not work after graduation unless they have applied for and received approval for a year of Optional Practical Training. In virtually all cases, it is not likely that they will be authorized to work immediately after Commencement. Contact Kate Sacco in OISS to verify if a) they have applied and b) a likely time frame for their approval.
