Staff Teaching: Additional Assignment Request form

Employees who take on assignments in addition to their primary position at RISD are responsible to ensure that their obligations to their primary position and department are being met in addition to balancing the responsibilities of the additional assignment.

To avoid misunderstandings and so that all assignments may be managed successfully, the Additional Assignment Request Form was developed to facilitate and memorialize clear communication between the employee and their primary supervisor about expectations. Approval prior to accepting any additional assignment is necessary because of the potential of conflicts of commitments and, when the employee is hourly paid, the overall financial impact to the department and RISD. The form is completed as part of the “Add Job” process within Workday when added a position to a current non-temporary staff member.

A similar form and process has been in place for several years for exempt employees who teach in the degree program and more recently has been used for all employees teaching for the first time in the degree program.

As of February 1, 2019, the form will be used by all staff whenever they are taking on an assignment at RISD in addition to their primary position for which they will have separate responsibilities and are separately paid. The form will be used for additional assignments, regardless of the campus entity offering the assignment, e.g. degree program, Museum, Continuing Education, academic commons (Center for Art and Language, etc.)

For example:

    • An hourly paid employee works full-time in an academic department and is contracted to teach in Continuing Education. The employee will complete the Additional Assignment Form, discuss the expected changes to their schedule, if any, and other impacts to their primary role with their supervisor, and obtain their supervisor’s approval.

    • A salary paid employee works full-time in an administrative department and is asked by a department head to teach a credit-bearing course as faculty of record for the department. The employee will complete the Additional Assignment Form, discuss with the expected changes to their schedule, if any, and other impacts to their primary role with their supervisor, and obtain their supervisor’s approval.

The form is NOT applicable to situations in which employees take on expanded duties in their primary role and under their current supervisor. For example:

    • An hourly paid employee works full-time in an academic department. The employee is covering for another employee in the department who is on a short-term leave. The supervisor and employee discuss priorities, how the work will be covered and any impact to schedule or other work. The form is NOT applicable in this scenario.

Use of time off

Paid time off such as vacation, personal, etc., may not be used to excuse the employee from their primary position to work in a secondary position at RISD.
