Site Administrator Notes for Pro Bono

Can I ...?

Display the "Recommend Pro Bono" link on closed cases?

Not with the static (built-in) process and form. You need to create a dynamic process and form (see below) and set the process to display for the Closed disposition.

Display the "Recommend Pro Bono" link on incomplete intakes?

Not with the static (built-in) process and form. You need to create a dynamic process and form (see below) and set the process to display for the Incomplete Intake disposition. Note: This works for a one-step assign pro bono process. Untested with a multiple step process.

Custom Link(s) for "Recommend Pro Bono"

You can create an auxiliary process and form to replace the static (built-in) Recommend link.

Why?

* You want/need a dynamic process and form to display the Recommend link on closed cases or incomplete intakes. The static (built-in) link cannot be displayed on closed cases.

* The ability to set custom default filters (particularly on the Recommend list) allows you to tailor the list of pro bono users for your organization. For example, if the list should start with pro bono users not assigned to an open case, default the Number of Open Cases filter to 0.

* Another example is creating a separate process and form for a Recommend Mentor link where the list filters by default on an Advocate/User Type of "Mentor" instead of "Pro Bono Advocate".

Setup:

Create an auxiliary form using the desired list(s):

  • "Pro Bono Recommended List" - required (unless you are making an unusual form)

  • "Pro Bono Attorney Call Attempts List" - only needed if the site is using this feature (see Admin > Pro Bono Settings)

  • "Pro Bono Assignments List" - displays a list of existing assignments on the case, so purely optional

  • "Pro Bono Interest List" - only needed if the site is using this feature (see Admin > Pro Bono Settings)

Create the auxiliary process:

  • Set Disposition to Show to include Closed if you want to see the link on closed cases.

  • Optional: Name the process "Recommend Pro Bono Advocate" to distinguish it from the static link.

Hide the Static Actions Link:

Although optional, this step is recommended to avoid having two "Recommend" links.

If your site is already using one or more Custom Link Box elements to display the Actions menu links, simply select your newly created dynamic process instead of the static process.

If your site is using the legacy Link Boxes element to display Actions menu links, you need to disable that element and replace it with one or more Custom Link Box elements. The legacy Link Boxes element provides no way to disable the static Recommend link.

Custom "Assign" Process

The process initiated by the "Assign" links in the recommended users list is controlled in Admin > Process Settings. You can replace the static process with a dynamic process and form(s) to, for example, extend the single-form built-in process to include steps for creating packets or otherwise customize the assignment process.
