GAR Self Inspection Tool

Purpose: Allows a program to generate a random list of cases as required by LSC for the self-inspection, automatically enter the case from the list, keep track of which cases have been inspected and which ones still need to be done, etc. Programs can record the results in LegalServer and then generate the needed "SI Form" report. In addition, the report and inspected cases/list are stored for historical use. Note: This system uses CSR Eligible = yes, Assigned Office, LSC Self Inspection Office, Date Closed, and Disposition = closed when pulling/randomizing cases to be reviewed.

Cost: None. It may need to be enabled by LegalServer staff. File a ticket (Help menu > Support Request) if you don't see the Admin page.

Case/matter fields required to be set on each case prior for the tool to work properly include: Assigned Office, Disposition, Date Closed, and CSR Eligible.

The LSC Self Inspection Office field must be set for each relevant office on the site's Admin > Offices page.

This tool is located under "Admin", then "Self Inspection". The following fields are present:

    • Self Inspection Process URL. This is a read only field automatically set by LegalServer.

    • Total Cases in Sample. This number is calculated by you based upon LSC Self-Inspection Instructions. Once you calculate the number, enter it here.

    • Minimum Cases in Sample. This number is calculated by you based upon LSC Self-Inspection Instructions. Once you calculate the number, enter it here.

    • Minimum Cases Per Office. This number is calculated by you based upon LSC Self-Inspection Instructions. Once you calculate the number, enter it here.

    • Sample Size Date Range. Enter the date range for the self-inspection period.

"Clicking on the pencil for the list you wish to manage will bring up some options for managing that are restricted by the User Role Permission "Manage Self Inspection Forms".

You will also see a snapshot of the sample size for each office as well as the list of cases that need to be inspected. The list gives you some information needed for the Self-Inspection as recorded on the case itself, such as whether the case is timely closed and whether it is a PAI case. Clicking on "Review Self Inspection" will take you to the static Self-Inspection form where you will be able to answer the Self-inspection questions. Once the review has been done, the list will note the date of the review as well as the user who did the review.

Once the case sample size/date information is entered, you can save it, then click on "Generate New List" and your list of randomized cases for each office will be generated.

Review Self Inspection Form (sample):

Once all the cases have been reviewed, you can then generate the "SI Form" report, listing the number of errors in each category.

Locking the Self Inspection will remove the link to the Self Inspection form in the generated list so that it is no longer editable and replace it with the review date. Note: You can unlock the list again, if needed.

Once you have generated the report, you can "Lock" the Self Inspection, preventing any further edits/changes.

Note: You can create reports that summarizes the information as well. Here are some example reports: GAR Self Inspection Report (All Cases) and GAR Self Inspection Report (Errors Only)
