It is important that strict control be placed on all incoming and outgoing funds. The source of all incoming funds must be clearly identified by the fund custodian(s).
Please note:
- Expenditures/reimbursements will not be made without proper receipts/invoices.
- All school fundraising events must have prior administrative approval.
- All monies must be deposited in the activity fund.
- Incoming funds will be deposited with the custodian of the activity fund immediately. Funds are not to be stored in classrooms overnight.
- Withdrawal of funds will be made on a special form, with the signature of the appropriate activity sponsor. All blanks must be completed and signed. Statements will be attached indicating the nature of the expenditure.
- When requesting checks, submit the request at least 24 hours in advance.
PURPOSE
A financial activity established for an individual school for other than appropriated funds income and expenditures incurred by a student activity organization. These funds may be generated by student activity organizations through fund raising projects, contributions from various private organizations and/or individual donors. All funds are either encumbered or unencumbered.
- Encumbered funds are funds identified for a specific purpose or activity, (e.g., Student Council, Senior Class, FBLA, etc.). Encumbered funds will be credited to the designated activity and can be expended only by that designated activity.
- Unencumbered funds are those funds received from a community organization or individual which are intended for the benefit of the general student body. This is also referred to as the general fund. The fund council must approve all expenditures of over $100 from the general fund.
- The fund council will be responsible for the administration and operations of the funds in accordance with the constitution and by-laws and the procedures outlined in DODEA Administrative Instruction 1015.01
- All requests for funds must be coordinated through the activity sponsor or the principal.
- Expenditures not coordinated through the sponsor will be the responsibility of the individual.
