NEW FY 23-24 FORMS Available (see below)

The State of Colorado’s performance rating cycle for FY 22-23 the State is a unified 5-point rating scale and the transition year timeframe will be April 1, 2022 through July 31, 2023.  Thereafter, the performance cycle will run August 1st through July 31st, annually.  DNR is anticipating moving to a virtual platform for PMPs during the 23-24 rating cycle.

The annual evaluation sums up a year’s activity of setting expectations, goals, and measurements.  The annual evaluation gives employees an opportunity to share information about how they see their work. It is also an opportunity for both supervisors and employees to look ahead to areas of change, skill development, and competency acquisition.

Keep in mind that providing regular performance feedback and offering coaching and training when necessary should be an ongoing and continuous process throughout the year.

Finding the Balance in Performance Management

Employees and supervisors alike know that performance evaluations can be a major source of anxiety. With everything going on around us, that anxiety can sometimes be more harmful than helpful. From a management perspective, setting clear expectations is key. Goals and objectives are important, but it is equally important to put them in perspective for employees. If goals and objectives are not achievable then they can become demotivating - the opposite of the purpose they should serve. 

Make room for shifting priorities in employees' performance plans. They'll thank you for understanding and you'll thank them for jobs well done.

Keeping Copies of Final PMP Documents

Please be aware copies of final PMP documents should be distributed and maintained not only in HR but at the local level.  Please ensure appropriate files are kept by the following:

Please remember no paper files will be accepted going forward.  You must submit properly named electronic copies to your identified Division POC.  We thank you for your support with the submission process.

Please be aware there is no extension for submitting final PMP documents this fiscal year.

 

To ensure final ratings are submitted timely to the State Department of Personnel & Administration (DPA), please adhere to the following timeline:

 

It is required that every permanent employee in the Department receive a final overall evaluation of their performance for the past year.  Supervisors and managers, please schedule a meeting with each of your employees to discuss the past year’s accomplishments and how those impacted the team, discuss areas of opportunity and development, set your expectations for the coming year, and discuss goals and new Individual Performance Objectives (IPOs). Consider the entire cycle of April 1, 2022 - July 31, 2023 in your evaluation.

Supervisors should meet with their employees, complete evaluations, and submit them to the reviewer (second-level supervisor) by this date. 

The Reviewer should provide approval, edits, any feedback, and notes to the supervisor related to the evaluations. If a rating of Level 1 or Level 2 is given, supervisors should contact jonathan.bannick@state.co.us to discuss a plan for progressive discipline.

Supervisors or designated managers should submit a final ELECTRONIC COPY of the performance evaluations to their Division points of contact below by this date. The documents should include signatures of the employee, supervisor and reviewer. Signatures can be electronic. Please ensure the correct rating box is checked. 



 

2023.08.01 PMP Last Name, First Name

 

1. The Supervisor/Manager should have completed evaluation forms submitted to the Reviewer as soon as possible.

 

2. The Reviewer should provide approval and notes to the Supervisor/Manager within a few days of receipt.

 

3.  The Supervisor/Manager should meet with the employee in June/July period to go over the PMP evaluation and provide the overall rating/score, as well as develop the upcoming year’s performance plan.

 

4. Final ELECTRONIC COPY appraisals should include signatures of the employee, supervisor and reviewer and please ensure the correct rating box is checked.  Please ensure the document is titled correctly following this naming convention:  2023.08.01 PMP Last, First

 

5. Each Division will be collecting final PMP documents through a designated point of contact.  Please submit final documentation to the following:

 

 

Deadline for all ELECTRONIC FORMS to be submitted to HR is 9/15/2023. Please get your documents to your Division POC prior to that deadline.
