Payroll Under and Overpayments

Underpayments and Overpayments can occur for a variety of reasons.  The best way to prevent Underpayments and Overpayments is for employees and supervisors to review and approve all timecards for accuracy.   It is also best practice to review your Pay Stubs each pay period.  While you are reviewing your Pay Stub, if you notice an error please contact DNR_Payroll@state.co.us right away.

Underpayments

An underpayment is any payment that results from understating the rate of pay, understating the hours worked, overstating the employee deductions, or any other payments to which the employee is entitled.  If you discover an underpayment, please contact DNR_Payroll@state.co.us.  DNR Payroll will work with you to make the appropriate corrections and pay the underpayment.  We will work with you to ensure that you receive your payment in the most appropriate manner for your circumstances.

Overpayments

If you find that you were overpaid, please contact DNR_Payroll@state.co.us.  An overpayment is any payment that results from overstating the rate of pay, overstating the hours worked, understating the employee deductions, or any other payments to which the employee is not entitled.  If an employee is paid more than the amount due, the employee must repay the State the overpayment.  DNR Payroll will work with the employee as best we can to try and avoid any kind of financial hardship by offering a payback schedule if appropriate.  

Leave Without Pay (LWOP)

If there will be an extended absence due to FML, Worker's Comp, Short Term Disability, or other Protected Leave and the employee has run out of paid Leave, please contact DNR_Payroll@state.co.us and DNR_HR_EmployeeLeave@state.co.us.  If an employee has run out of Leave and is out for a shorter amount of time due to vacation or illness that was approved by the supervisor, the Leave Without Pay (LWOP) Pay Code should be added to the timesheet.  For Monthly employees and Biweekly Exempt employees an adjustment for this will be made in a future Pay Period.
