Taking Payments Over the Phone

The maximum amount we are allowed to put through the Eftpos machine via the phone is $250.

• SYSTEM OBJECTIVE: Staff are able to efficiently take payments over the phone if they are necessary 

• ACCOUNTABILITY: Reception Staff 

• SYSTEM STANDARDS: 

• Clients are able to pay over the phone without any hassle. 

• Clients who are unable to pay via the text or want to add money to another client's account are able to do so. 

• SYSTEM TRACKING: Salon Coordinator 

• STAFFING / SKILLS REQUIRED: Reception training 

• RESOURCES, EQUIPMENT AND SUPPLIES: Phone, eftpos machine 

• INFORMATION: 

• $250 is the maximum amount to be taken over the phone. 

• Don't repeat client's full card numbers back to them if you need to confirm that you have heard them right. Only say 4 numbers at once as they get nervous on the phone that someone in salon may hear them and steal their details.

• If a client wants to pay over the phone for a booking fee - ask them if it is possible that they do pay over via the Stripe text message. The reason that it is better is that with Stripe it is all through the booking system however paying over the phone can go wrong due to human error. We can guarentee that their booking fee will be safe via the text message but there is a chance something could go wrong if they pay over the phone. If they still want to pay over the phone that is fine. 

STEPS:

• On the eftpos machine, open the tab at the top left and select 'Take Payment'. Tap the blue 'mode' at the top right of the screen and select 'MOTO'.

• Once in the blue 'MOTO' screen, type the amount that you are going to charge their card and press 'manual charge'. 

• Once on the 'add tip' screen, press skip. This will then take you to the screen that has an image of a blank card. 

• Ask them for and enter their 'Card Number' first. This will consist of 16 digits. 

• Next, tap the section that says 'Expiry' and ask them for this number. It will be 4 digits. 

• Finally, ask them for their 'CVC' and tap on that section of the card. This will be 3 digits. 

• After all of the numbers are put through, tap 'Next' at the bottom right of the screen and then 'Charge'.
