Why do we use safety navigator?
Saftey nagivator is a crutial part of our business operations. As we are a 4/7 facility our security and saftey checked need to be on point at all times. Safety nagivator aids us in doing this as well as keeping a record of each and every task/file needed.
Safety Navigator is about making health and safety easy for your business.
How the Safety Navigator system works
Safety Navigator engages users by sending regular emails containing instructions to complete simple actions.
Users follow those instructions to login to the 'Resources Area', open the relevant online form to record the action, such as: workplace inspections, or staff inductions, then save the record and log out.
Safety Navigator is accessible across all devices.
The Basics!
When you first log into safety navigator you are going to find yourself on the page photographed to the right. This is your WHS resource area and where you will find everything you need.
Each box is a task or report that needs to be done at certain points in the year. When you clikc on one - For example lets click on Saftey meeting / toolbox talk. You can see below you can click the + to do a new one, whilst it also shows you all previous tasks that have been done aswell!
My WHS and IM History
This is where you can see how your club is currently performing within saftey navigator. We want our guys to be at a 1, at all times!! % is the lowest level you can be and 1 is the highest.
In the bleow table, it outlines whats needed to be done in order to get you to each level, with our aim makng sure we have everything needed to be at level one. This measn you need to have done;
One workplace inspection for that month (or current month) has been completed
One Policy Review was completed within the WHS Documents, Records, and SWPs module of the system within the last 12 months
Two bi-annual WHS Systems and Documentation Reviews in the past 12 months are completed
Four Safety Meeting/Toolboxes have been completed in the past 12 months
There are no ‘urgent’ Actions/Risks outstanding (this happens if you answer no on any question within any report, if it is not applicable to us make sure to select NA not no)
How do I know when im due to do another task?
The best thing about safety navigator is they send us reminder emails when we are due to do another task. it is suepr imprtant that you never ignore these emails and make them a priority on your task list once they come through.
The email will look like this;
Automated External Defibrillator (AED) Check
You are required to check your AED and complete a monthly inspection form. Your AED can be found on your security board in the club.
To complete this AED check you need to:
a) Go to: Safety Navigator
b) Login: with your username and password
c) And select the AED Check, and complete that inspection.
To complete this form you will need your AED Serial Number, Battery Expiry Date, AED Electrode Pads Expiry Date. These can all be found on your AED machine in the club.
Security System Check:
You are required to complete a Security System Check once a month. This will include phone lines working, emergency buttons & pendant alarms tested, cameras working.
NOTE: You will need to call Rylex to complete this check.
To complete this Security System Check you need to:
a) Go to: Safety Navigator
b) Login: with your username and password
c) Select the Security System Check, and complete that inspection.
Workplace Inspection Form
You are required to complete a workplace inspection form once a month. This Checklist is to be used for assessing the general safety of the workplace.
As this form is a uniform inspection form across the Gyms, Aquatics and Dance Centres there will be some questions you will need to answer N/A.
NOTE: If you are the Inspector, place a Y in the left column if an item is in order. Any "no" answer should be accompanied should be highlighted with an 'N' in that column and an automatic 'Hazard Report' form will be generated for you to fill in.
To complete this Workplace Inspection you need to:
a) Go to: Safety Navigator
b) Login: with your username and password
c) Select the workplace inspection form, and complete that inspection.
First Aid Kit Check:
We are required to check our First Aid Boxes located on our security boards in club and complete our First Aid Kit Check.
This form is used to check the contents of your first aid kit on quarterly basis.
Please check the actual contents of your first aid kit against the items listed below and make note of any items that require replenishment in the ‘Comments’ field.
If any items are missing please answer NO and list the missing item(s) and the relevant quantity in the “Comments” field.

To complete this First Aid Kit Check you need to:
a) Go to: Safety Navigator
b) Login: with your username and password
c) Select the First Aid Register and complete that inspection.
The objective of this document is to ensure the organisation is addressing and regularly reviewing all aspects of its WHS Management system. Completion of this document is one of the items used in calculating your organisation’s risk rating.
"Suggested Review frequency" is the recommended time for review however this may be varied depending on size and type of site. When completing this form quarterly please tick N/A for those items not completed at that time.
"Example Evidence" is the typical generic documentation that should be available to support a "Yes" answer to the criteria. Specific evidence may vary at individual sites.
This form should be completed quarterly.
