Welcome to the Payment Options and Rules page. Understanding and following our payment guidelines is essential to maintaining smooth, professional, and consistent member transactions. This page outlines the approved payment methods for Anytime Fitness members, along with key rules that apply to ensure all payments are handled accurately and efficiently. These guidelines help us provide a seamless experience for members, minimise payment errors, and ensure compliance with our organisational standards.
At Anytime Fitness, we use three specific payment methods for member transactions through our sales tab. These are the only payment options that should be used, providing security and convenience:
EFTPOS
Members can make payments directly in-club using EFTPOS. This is a fast, secure, and straightforward option for immediate transactions at the club.
Web Payment
Our online payment portal allows members to make payments through the web, this is specifically used in clubs that cannot take remote payments through the eftpos and use square instead.
Account Payment
Members may place charges on their account, which will be debited according to their scheduled payment cycle and will come out at their next billing
These methods provide flexibility while maintaining secure and consistent payment handling across our clubs.
To support our payment processes, it’s important to adhere to the following rules for member transactions. These rules apply to every member and are in place to ensure accuracy, efficiency, and a positive member experience:
Start-Up Costs and Deposit Requirement
When a new member joins, all start-up fees are required upfront. However, if a member is unable to cover the full amount at sign-up, they must pay a minimum deposit of $50, with the remaining start-up fees placed on their account for future billing. The full amount should never be placed solely on the member’s account.
Pro-Rata Payments
If a member joins partway through a billing cycle, they are required to pay a pro-rata amount to cover the remaining time until the next full cycle. This ensures that all members are up to date with their payments from the start of their membership. This payment should NEVER be waived.
Key Fee for All Members (except under 18)
Every member, including those returning after a lapse / cancellation, must pay the key fee to receive their access key. This fee is essential for maintaining secure club access and should be collected in full before access is granted. When an ex member rejoins, the business still has to pay a fee for the app/key activation which is why they also need to pay this fee again.
Promotional Offers (e.g., 5 for 5)
Promotional deals, such as “5 for 5,” must be paid upfront and cannot be placed on the member’s account. Since account-based charges are typically processed at the end of a promotional period, charging promos to the account could delay or interfere with payment collection. To prevent issues, always ensure promo payments are collected at the time of purchase.
For Rehab 3-Month Paid-in-Full (PIF) memberships, payments must be made directly at the time of purchase to activate the membership immediately. There are two options available:
Insurance Payment: The member’s insurance provider can pay directly, either in person with a card or over the phone. This ensures the membership can be activated on the spot.
Member Payment with Reimbursement: Alternatively, the member can pay upfront and claim reimbursement from their insurance provider.
This policy ensures a smooth, timely activation for the member without delays in waiting for insurance processing.
These payment rules help maintain clarity and fairness for all members, keeping our financial processes smooth and consistent. By following these guidelines, we can avoid payment errors, ensure that members have uninterrupted access, and uphold Anytime Fitness’s high standards for member service.
