The task list is best described as your clubs Call diary and displays a list of calls and actions (such as SMS or Emails) that are required to be completed by the team that is on that day. The task list helps up keep track of the people we are contacting and the frequency that we contact them, ensuring that we are organised and contacting everyone when needed.
The task list is split into 4 areas.
Sales Calls; Calls to your Prospects
Retention Calls; Calls to your members
Appointments; Which lets you know how many appointments you have for the day
To Do; replies to text messages that have been sent out
Whilst the task list will automatically assign tasks to a team member, here we are all responsible for ensuring every task in the list gets completed each day not just the person who has been automatically assigned the task.
To start with, select the "detail" button.
This will take you to a new screen which will show you a detailed list of all the Tasks for the day.
The detailed list will include:
the "type" of task, being a call or appointment
The "Date"
"Contacts Name" that you are reaching out to. If the name is in a blue colour that means that the person is currently a member. If their name is in a maroon colour then the person you are contacting is a prospect and are not currently a member.
The reason for you call which is listed as "Regarding"
"Best time to Call" which is sometimes marked. This could be an Morning, Afternoon or Evening and can also from time to time include the time the call needs to be completed
Who the task has automatically been assigned to which is listed under "By".
"Result" which should start as a "proceed". This means a task is waiting for you to proceed with it. Once you have it will no longer say proceed and will state what action happened.
To continue, select "Proceed".
Once selecting "Proceed" you will be taken to a mini profile of sorts. The important bits to take note of prior to you attempting the task are
Their First name, you are going to use it so make sure you know it
If they are "under contract" or listed as a "member" . If they are under contract this means they are still within their minimum term of their membership
The joining date, knowing how long they have been a member for is a quick way to build rapport.
Select the "Show Notes History" button at the very bottom to bring up a list of all the notes collected on this person so that you know their history.
Once you have reviewed all this information its time to get your script out. We have scripts made for you that are to be used every time these scripts are below.

Once the Task is attempted the only thing left is to write out as detailed as possible notes, confirm who it was that attempted the task, and mark the outcome.
