The Diary module in ClubWise is an interactive platform where you book and manage appointments for your members and prospects.
Here you can also set yourself up with Tasks that require completion at a select time to help organise your team's day more.
We have a set protocol to follow with all appointments to make sure we have the best change of them showing up.
Rule #1: never book an appointment more than 2 days in advance, this creates more urgency and increases the change of the prospect actually showing. if they want to still book for more than 2 days in adcnae, set a follow up cal for that morning or the day before the time they said they would like to come in so we an call to confirm and then book it on.
Rule #2: ALWAYS confirm your appointments, this is done at the start of the shift after our reset and returning of missed calls. First you are going to call the prospect and if they dont show then send them an sms.
Call script - "Hi, its Name from Anytime fitness (CLUB), I was just giving you a quick curtesy call today to con firm your appointment at (time)"
SMS Script- Hey Name, It’s Name from Anytime Fitness (CLUB)💜 I’d like to confirm your appointment with us today at Time! Please respond “YES” To confirm!
RULE #3: if they dont show to the appointment, make sure to follow up NO LATER than 15 minutes. if theyr appointment was at 3:30 you should be calling them no later thab 3:45. this again helps creats urgeency. They could be running late or forgot, if we dont call them you have a higher chance of the lead losing interested. Also please make sure to go back int the appointment task and marking it as a no show and resdueling for the next time. If we dont do this the prospect will end up in pros with no futre date.
