But what do you notice about the responses? They use specific type of sentence, which is a declarative sentence.
Did you also notice the purpose of each statement? Yes,
all the statements aim to explain. We have learned the different kinds of sentences according to purpose. These are declarative, interrogative, imperative, and exclamatory sentences.
In giving explanations, what do you think is the kind of sentence that you can use? If your answer is telling or declarative sentences, then you are correct! You can use declarative sentences. This kind of sentence ends with a period. Why do we give explanations? In communication, we give explanations because something is not understood. There is a need to clarify things that are unclear or to justify why something happened the way it did.
In giving explanations, you need to be:
Direct
Being indirect in explaining can signify that you are uncertain of what you are saying or you are trying to hide something. Since your objective in giving an explanation is to clarify things, you need to be straightforward or direct.
Thorough explanation is needed because something is not understood. Therefore, you have to be clear and thorough with your explanation. The details should
be complete and should clear all confusion and misunderstandings.
Keep it simple
When you explain something, keep it simple and try not to give lengthy explanations. A long explanation does not guarantee that the person you are
communicating with can understand you better. It sometimes creates more confusion because more details would have to be given. Assess the
situation that you are in. If you think that the situation calls for further explanation, explain away. If not, keep it short and simple.
