Overview 

The CIMS Textbook List will serve as the primary textbook list for Procurement. CIMS automated workflows allow Procurement to alert Curriculum and Innovation personnel when textbook changes are required due to expiring editions, unavailability, or publisher contract changes. Procurement will approve all new textbook records before being imported to the list for publication.

Procurement Labels 

All textbook records will have a Procurement Label to be used for filtering and reporting.  Procurement Labels will be applied and approved by Procurement. Dropdown options are editable through CIMS Admin and will be updated as necessary. Current options include:

ADN                      ExcelTrack             PL BSN

PGLS                    Graduate               Regular Track

The CS Alert process is automated in CIMS and involves two fields within the textbook record. Procurement will use these fields to alert the CS to research and schedule the course for a revision to a new edition or textbook. Updated information will be added to the Action Items field and a date will be placed in the Alert CS field.  This will trigger an email notification to the CS and ADoC. 

New Textbook Records will be created with a Curriculum Requirements Documentation (CRD) process . Upon finalization of textbook selections, Procurement will import the textbook records for the new term to the CIMS textbook list.

VBID Status Tracking will be available with the VBID Status field in the CRD that will be updated by procurement during the CRD process. Statuses include:

• VBID Not Required (default)

• VBID Requested- indicates that procurement has requested the VBID for the specified launch term

• VBID in Finalized Grid - indicates that the correct VBID has been added by Procurement to the finalized grid in the CRD.  This ISBN can now be used by production to update the Master Course Offering.

Procurement Textbook Reports will be available for download from CIMS via the textbook tab. 

Procurement Reports, by default, include the data from the most current term records for all active and not yet active courses and have these optional parameters available:

• School - Multi-select from Options

• Publisher - multi-select from options

• Procurement Label - multi-select from options
